Job description

Fixed Term Part Time – 32 hours per fortnight

Available 3rd June 2024 to 5th December 2025

In this role you are responsible for providing high quality medical administrative support, and direct support for the Director of Medical Services (DMS). Days of working are flexible.

As the first point of contact for the Director of Medical Services, you plan and coordinate administrative workflow to ensure work priorities are met, agenda and minutes of various committee meetings, organisational goals are achieved, and best practices upheld.

About you:

  •  Extensive administration experience and/or qualification
  • Extensive administration experience, with evidence of reporting directly to senior management roles
  • Demonstrated robust and effective communication and interpersonal skills with the ability to communicate with people at all levels and vary communication style accordingly
  • Excellent time management skills and the ability to organise and coordinate multiple projects at once
  • High level of proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge 
  • Ability to maintain executive and organisational confidences
  • Previous experience within the Health Services industry or not-for-profit sector would be well regarded

About us:

Portland District Health (PDH) provides an integrated health service for the community. The hospital was established in 1856 on the current site and now provides a comprehensive range of services that include:

  • Hospital based Medical and Surgical services, Medical Imaging (Radiology), Pharmacy and Pathology
  • A 24/7 Urgent Care Centre for emergency treatment
  • Residential aged care for 30 residents at Harbourside Lodge
  • An extensive range of primary and community services for the local community

PDH delivers services from a single campus, employs around 470 staff with an FTE of approximately 290, and has an active volunteer workforce. The People and Culture Unit sits within the Corporate Services Directorate, with other Units including Finance, Building Services, Food Services, Environmental Services, Executive Support, Administration and Health Information.
