The opportunity
We have an exciting opportunity for an experienced Business Support Services Officer to join the team who are responsible for providing high quality administrative support to the multi-disciplinary team across the metropolitan Service Delivery Centres within Operations SA.
Based at our southern Service Delivery Centre, no two days will be the same, as you manage and prioritise your own workload to meet established timeframes and Business Support expectations.
Key responsibilities
- Provide administrative support to the multi-disciplinary team which may include, but is not limited to:
- Client records management – Allied Health and Nursing
- Stationery and medical stock management
- Asset and facilities services
- Operational administrative tasks
- Provide support and assistance in relation to the co-ordination of meetings, including scheduling appointments (i.e., fleet bookings, team meetings, room bookings) with internal and external parties to support the Service Delivery Centres.
- Ensure timely and accurate processing of client/employee/supplier documentation, including the filing, archiving and retrieval of file s as required.
- Coordinate stationery, client packs and medical stock levels effectively at each Service Delivery Centre, minimising excess, or expired stock.
- Accurate and timely processing of financial documentation including raising purchase orders and processing invoices.
- Prepare and update spreadsheets and databases and maintaining data integrity and accuracy.
- Provide relief administration support where required across the Service Delivery Centres to ensure continuation of operational needs.
- Coordinate monthly reports as required for the Service Delivery Centres.
- Assist Service Delivery Centres with onboarding and offboarding of team members.
- Undertake other general administrative duties as required and requested by the Team Leader, Administration.
- Contribute to and implement continuous improvement activities to streamline processes and facilitate
- administrative efficiency.
About you
- Demonstrated high-level administration skills to schedule meetings, prepare documentation and provide
- general administrative support to maintain smooth daily operations.
- Demonstrated computer literacy in all aspects of Microsoft Office suite to create effective documentation and manage electronic diaries.
- Well-developed communication (written, verbal and listening) and interpersonal skills including the ability to converse over the telephone and face-to-face in order to build effective relationships, respond appropriately to queries and liaise at all levels.
- Demonstrated high-level time management and organisational skills to effectively plan and prioritise work tasks and meet scheduled deadlines.
- Demonstrated ability to work effectively in a team environment and autonomously.
- Demonstrated experience in a similar role.
- An unencumbered SA Driver’s license.
