About the role:
AGA has a brilliant opportunity available for a motivated individual who is keen in becoming Student Administrator Trainee by completing Certificate III in Business within 12 Months. The role of the Student Administration Officer provides a range of administrative services to our Registered Training Organisation, including maintenance of student records, providing advice and guidance to students, employers and staff, processing student fees and enrolments, assisting with program scheduling and other tasks necessary to ensure AGA’s compliance with all relevant regulations, standards and legal requirements related to education and training.
The role of Student Administration may include coordinating all aspects of short courses offered at AGA. It also includes processing student enrolments in an accurate and timely manner and in accordance with all external contractual and internal requirements. It also extends to effective administration relating to VETiS programs, producing key reports and general administrative duties. This role will be completed as a traineeship with a certification in Business.

- Ensure safe office work practices are carried out within their workplace
- Report any hazards, injuries or incidents within their workplace to their manager
- Liaise with instructors to ensure student files are processed within required timeframes
- Data entry of student records into the Student Management System
- Comply with legal and statutory requirements
- Data entry of bulk enrolments of AGA apprentices and trainees during peak periods
- Notifying apprentices, students and employers of scheduled schooling dates as per business requirements
- Assisting in the maintenance of the student files archive system
- As required provide guidance and information to students, potential students and staff on the enrolment process
- As required compile and send enrolment packs to potential students
- Receive and process enrolments, credit transfer and recognition of prior learning applications
- Produce weekly reports on the Government EPSILON system to identify new potential students seeking enrolment
- As required assist in maintaining systems to ensure compliance with AQTF, SVTS, Regulatory and other external audits
- As required liaise with service providers in relation to contracts for delivery of short courses, attendance reports, results and invoicing
- As required process Short Course enrolments, credit transfer and recognition of prior learning applications
- As required distribute Certificates and Statements of Attainment from service providers of short courses
The Trainee should meet the majority of the role selection criteria as follows:
- Computer skills and broad experience across a number of software applications
- Ability to relate to a wide cross-section of stakeholders, including students and employers
- Respond to inquiries and explain RTO processes
- Demonstrated ability to deal with sensitive and confidential information
- Ability to manage and prioritize a work schedule, meet deadlines and work under pressure
- Excellent time management and personal organisation skills
- Personal initiative and problem solving skills
- Understanding and demonstration of a proactive approach to safety
- Willing to undertake a Police Check
- Up to date with covid-19 vaccinations
- Must be an Australian citizen/ Permanent Resident
- A positive quick learning attitude
- Willing to attend accredited RTO/TAFE training
- Yr 12 VCE completion is preferred
