In this role you will:
- Oversee and maintain databases relevant to new receptions ensuring timely allocation to a Case Management officer
- Conduct comprehensive file reviews, identifying risk indicators and triaging eligibility of new receptions for Case Management Services
- Identify and provide advice to the Manager, Sentence Management services regarding the appropriate Case Management phase and engagement for new receptions
- Provide individual and work unit coordination, supporting the performance of the sentence and Case Management team by supporting workload allocations, maintaining records utilising electronic and physical file recording in accordance with departmental procedure and privacy requirements
- Prepare professional and detailed assessments and reports for both internal and external audiences
- Collate statistical data, manage databases and spreadsheets and in the absence of appropriate automated technological solutions, analyse and interpret statistical data relating to sentence and Case Management performance and governance
- Understand and execute responsibilities in accordance with governance mechanisms to deliver compliance and support business improvement
- Brief senior sentence and Case Management staff regarding sentence and Case Management performance and governance through both written and verbal reports
- Monitor and action diaries, calendars and workflow management systems relevant to offender assessment, Case Management, court attendance and parole eligibility including pre-sentence, pre-release and accommodation risk assessment
- Ensure all sentencing, sentence and Case Management correspondence is actioned within timeframes including being delivered and clearly explained to prisoners
- Contribute to the ongoing review of the service delivery through monitoring the efficiency and relevance of service provision, identifying any gaps in service delivery and advising on improvements particularly relating to the development of technological reporting solutions
- Communicate and engage with incarcerated persons in response to sentence and Case Management enquiries, verbal and written, and to deliver and explain correspondence including accommodation risk assessment outcomes and parole application processes
- Establish key communication processes to coordinate links between sentence and Case Management and relevant stakeholders including Custodial Operations, Parole Board Queensland and Community Corrections to ensure integrated sentence and Case Management processes, for example, email notifications and communication
- Ensure timely provision of service and advice to courts, boards and other agencies regarding prisoners
- Maintain facilities and equipment, including performing stock takes, asset registers and ordering supplies and services
- Undertake procurement and financial processing duties including reconciliation where required
- Maintain staff movements and payroll oversight functions including checking time sheets, submitting leave forms, assisting with commencement paperwork and local induction activities for new employees
- Provide administrative support for the team such as data entry, scanning, photocopying and filing where required
