We are currently seeking a motivated and flexible individual to join our team as a Casual Administration Officer / Receptionist. This role entails providing administrative support, managing reception duties, and facilitating seamless communication within our practice and with our referrers. This role is the pivotal link between practice management, medical leadership and our team of psychologists and psychiatrists.
The ideal candidate will report directly to practice management with occasional interaction with the clinical director. - Attention to detail and proficiency in schedule management
- Ability to coordinate with multiple providers and psychologists
- Proficient computer skills, with experience in medical software (preferably Xestro and/or Halaxy)
- Commitment to delivering excellent customer support
- Competent in phone management and patient records
- Capacity to work cooperatively and independently
- Experience in administration or relevant qualifications (preferred but not required)
Role Responsibilities:
- Reception phone management
- Email/Practice software communication coordination and management
- Scheduling and organising appointments across different practice software
- Billing and invoicing including but not limited to Medicare, DVA, Workcover QLD, Third Parties
- Understanding of patient privacy regulations and ability to maintain confidentiality
- Patient record management
- First point of contact for all communication
- Handling patient inquiries and directing them appropriately
- Covering shifts for unavailable staff
- Maintaining a tidy and welcoming reception area
- Collaborating with colleagues to ensure smooth practice operations
- Scanning and filing

- Valid Police Check
- No clinical affiliation with the practice
