Role Overview: As a Client Liaison Officer/Receptionist, you will be responsible for managing our multi-line telephone system, greeting clients, and ensuring they receive a warm and professional welcome. Your role is crucial in maintaining the smooth operation of our front office and supporting general administrative tasks.
Key Responsibilities:
- Greet and welcome visitors with a friendly and helpful demeanour.
- Answer incoming calls, determine the purpose of the callers, and forward calls to appropriate personnel or departments.
- Take and deliver messages when appropriate personnel are unavailable.
- Provide information about the organisation to callers, including directions and other company details.
- Perform clerical duties such as filing, photocopying, and collating.
- Send confidential financial information on behalf of clients under the direction of accountants.
- Maintain the supply of information and literature in the reception area.
- Assist with general office duties and ensure the office, including kitchen and washroom areas, is well-maintained.
- Distribute incoming faxes and assist with outgoing faxes as needed.
- Receive and distribute BAS/IAS statements and ATO correspondence.
- Ensure timely lodgement of tax returns and BAS/IAS.
- Keep ASIC Company Annual Statements up to date and distribute them to clients.
Skills and Experience:
- No previous experience necessary
- Proficient in Microsoft Office, including Outlook.
- Excellent customer service skills both in person and over the phone.
- Strong time management and organisational skills.
- Excellent oral communication, listening, and assertiveness skills.
- Attention to detail and a proactive, self-starting attitude.
- Ability to work independently as well as part of a team.
Personal Attributes:
- Ability to maintain effective working relationships.
- A welcoming telephone and reception manner.
- Patience, tact, and approachability.
Working Hours: This full-time position requires a 38-hour work week, Monday to Friday, on an alternating roster:
- Week 1: 7:45 am – 4:45 pm
- Week 2: 8:30 am – 5:30 pm A one-hour lunch break is included within these hours.
