For more than 170 years we have been providing practical and compassionate support to people across Victoria whose daily struggles can include putting food on the table, paying essential utilities and ensuring their children remain at school to obtain an education.

Under our Good Works umbrella we have many services and programs, including Vinnies Shops, soup vans, education programs, home visitation programs and VincentCare Victoria (VCV), which assists some of Victoria’s most vulnerable communities, such as people experiencing homelessness, the housing crisis and family violence, and the elderly.

About the Role:

The Compliance and HR Administrator collaborates closely with the Talent Acquisition team and the broader People and Culture team to ensure that all staff, volunteers, and members are compliant in accordance with Working with Children Check (WwCC) and National Criminal History Check ( NCHC) legislation and organisational policies, enabling them to effectively support the most disadvantaged in our communities.
Recognising the critical impact of the hiring process on the culture and success of the Society, this position ensures the professional, ethical, responsive, and timely delivery of services across the organisation. The role is pivotal in maintaining high standards and supporting the organisation’s mission.

Key Responsibilities include:

  • Ensuring all compliance processes are effective and efficient in maintaining that all Members, Volunteers and Employees have undergone the required National Criminal History checks (NCHC) and Working with Children checks (WwCC) and Driver Medical checks in agreed timeframes.
  • Ensuring that systems and processes are followed, monitored, and maintained to ensure the workforce (staff, Members and volunteers) are compliant at all times.
  • Ensuring that relevant areas and stakeholders understand the Societies compliance process.
  • Providing administration support of compliance checks and updating of database which will include some date entry.
  • Ensuring the compliance enquiries are attended to, and prioritisation is considered and monitored in consultation with the Talent Acquisition Manager
  • Being proactive in continuous improvement and providing suggestions for improving policies and procedures to enhance compliance processes throughout the organisation.
  • Assisting in the management of employment schemes such as the Work for the Dole program by liaising with different agencies who support volunteer recruitment.
  • Ensuring that all documentation and check outcomes are recorded strictly in line with ACIC, Department of Justice and Community Safety and Privacy legislation requirements, including the provision of advice to other areas involved with the process.
  • Maintaining accurate HR records, ensuring all employee/volunteer files and documents are maintained.
  • Developing a regular system (with input from relevant areas) that allows for the reporting of check renewal requirements and advice to relevant people (Members; Volunteers; Employees).

About You:

You are a highly organized and detail-oriented professional with extensive experience in volume data entry with exceptional accuracy, particularly in compliance or HR settings. You bring strong technology proficiency, adeptness in database reporting, data management, and analysis.

Your excellent interpersonal skills, superior written and verbal communication, and ability to build relationships enable you to effectively communicate processes, especially over the phone.
You are proficient in MS Word and Excel and have the ability to learn new systems quickly.

More specifically we prefer that you have:

  • Demonstrable Administration and Data base maintenance experience, preferably within a compliance/HR environment
  • Exposure to Talent Acquisition functions in in-house or agency environments
  • Strong customer service /candidate relationship management skills
  • Experience with technology, database reporting and analysis
  • Ability to effectively communicate processes and build relationships with a diverse audience – particularly over the phone
  • Strong computer literacy (MS Word, Excel)
  • Strong attention to detail and accuracy
  • High learning agility with an ability to pick up new systems and processes quickly
  • Ethical and professional manner at all times
