Position Overview:
We are currently seeking a highly motivated and detail-oriented Contracts Administrator . The successful candidate will be responsible for assisting in managing contracts and procurement processes, ensuring compliance with contractual requirements, and maintaining effective communication between stakeholders.
Key Responsibilities:
Contract Management: Assist in the preparation, review, and administration of contracts, including subcontractor agreements and supplier contracts. Monitor contract performance, ensuring compliance with contractual obligations and deadlines.
Procurement: Support procurement activities, including sourcing vendors, obtaining quotes, negotiating prices, and preparing purchase orders. Work closely with the procurement team to ensure timely delivery of materials and services.
Document Control: Maintain accurate and up-to-date contract documentation, including contract files, amendments, and change orders. Implement document control procedures to ensure the efficient storage and retrieval of documents.
Financial Management: Monitor project budgets and expenditure, tracking costs against contracts and identifying potential cost overruns or savings. Assist in the preparation of financial reports and forecasts.
Risk Management: Identify and assess potential risks associated with contracts and procurement activities. Develop strategies to mitigate risks and ensure compliance with relevant legislation and regulations.
Stakeholder Communication: Establish and maintain effective communication channels with internal and external stakeholders, including clients, subcontractors, and suppliers. Act as a point of contact for contract-related inquiries and issues.
Continuous Improvement: Identify opportunities for process improvement and contribute to the development of best practices in contract management and procurement. Share knowledge and expertise with team members to enhance overall performance.
Qualifications and Experience:
- Bachelor's degree in Business Administration, Contract Management, or a related field.
- Proven experience in contract administration, preferably in the landscaping or civil construction industry.
- Strong knowledge of contract law, procurement practices, and contract management software.
- Excellent communication, negotiation, and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Attention to detail and a high level of accuracy in work.
- Proficiency in Microsoft Office Suite and other relevant software applications.
