We currently have an exciting opportunity for a Contract Assistant at our Perth Office / Kewdale Depot, on a 12-month maximum term basis.
About this role
The Underground Power Projects area need a Contract Assistant to support our Contract Management team.
We have a significant program of underground power projects to deliver. Our individual projects have a design phase followed by the construction phase. The core elements of these phases are the design and construction contracts.
This role will be responsible for assisting the delivery of effective contract administration services to support the objectives of the business strategy. This will be done in accordance with the accepted commercial standards including timelines, cost and quality to meet client satisfaction. The core role of a Contract Assistant is as follows:
- Managing group mailbox to filter, transfer and monitor or respond to incoming customer queries.
- Prepare all administrative requirements of contract progress meetings from meeting preparation activities to accurate minute recording and distribution;
- Maintain contract management filing systems and be able to maintain the contracts document retention system;
- Material requisitioning to support contract requirements;
- Apply and maintain effective document control processes;
- Familiarisation with complex drawings of a technical nature;
- Coordinate and maintain the contract master database to meet audit requirements;
- Assist in the preparation of contractual correspondence to contractors and suppliers for related projects;
- Maintain all commercial and administrative contract records for related projects within a team;
- Administer components of the process in respect of setting up new contracts and when necessary assist in the management of contract payments;
- Compile and manage monthly performance reporting;
- Assist with complying with legal and contracting requirements;
- Perform general administrative duties as required; and
- Support the team peers in respect to developing Contract documentation.
About you
We are seeking someone with experience and attributes that include:
- Completion of year 12 with English & Mathematics
- At least 4+ years’ experience in the commercial contract management and administration field
- Must have a working knowledge of the general structure and requirements of the AS4000 series of contract conditions.
- Meeting administration skills including the preparation and distribution of invitations, agendas and minutes.
- Excellent stakeholder and program query response skills.
- Shared mailbox co-ordination with query responses or redirection to the appropriate party.
- Pro-active approach to support contract team with administrative activities
- Preparation of material requisitions and other procurement activities to support the contract management.
- Knowledge of contract payments including contract variations
- Contemporary filing systems and document management with emphasis on security and retention of contract documentation
- Maintaining of databases or registers and have the skills to produce reports as required
- High level of understanding, experience and accuracy in document preparation
- Effective work management skills with the ability to implement corrective and proactive measures as required to ensure required service levels are met
- Proficiency in MS Office applications Word, Excel and Access. ERP and/or scheduling/work management systems
- Must be able to apply and maintain effective document control processes
