What you will do:
The Executive Assistant is responsible for providing high level executive administrative and organisational support for three Partners in our senior Leadership Team so they can work effectively and efficiently on their priorities.
- Complex, fast-paced diary management for up to 3 Partners
- Schedule, rearrange meetings (internal and external) and prioritise accordingly, often across multiple time zones with multiple participants
- Coordinate and manage complex domestic and international travel, including visas, transfers, accommodation, itineraries, travel documentation and any other required materials
- Support Partner client development by building relationships with internal and external stakeholders
- Build and maintain collaborative relationships with clients and colleagues at all levels, both internally and externally
- Coordinate preparatory meetings and prepare any necessary paperwork and materials
- Manage confidential and sensitive information with discretion
- Maintain the Bain database (CRM) and assist Partners with activities which are part of their personal Marketing plans (HLAs)
- Liaise with the Marketing on mail outs, road shows and other Bain sponsored events
- Organise events and gifts as required on an ad hoc basis
- Prepare and submit Partner’s expenses and timesheets in a timely manner and ensuring accuracy with monthly reconciliation reporting
- Support the EA/MA team with cover and additional work overflow
About you:
As an extraordinary individual, you will have exceptional organisational skills, attention to detail and thrive in a fast paced environment with an ability to multitask, take initiative, be proactive and have a high degree of accountability; but most importantly, you are a strong team player, collaborative, and flexible with a good sense of humour!
The ideal candidate will have previous experience as a senior personal assistant or Executive Assistant with 4+ years working in professional services or other professional industry.
