University College (UC) is a leading residential College providing academic and wellbeing support for its students in a friendly, relaxed and supportive community. Located in Parkville with impressive modern facilities, UC is a vibrant college with around 350 students studying at the University of Melbourne and other nearby tertiary institutions. University College is governed by the College Council who are an experienced group of dedicated academics / professionals volunteering their time to ensure excellence in all aspects of governance of the College as a Not for Profit entity.
The Council Secretary reports to the Council President and provides secretariat assistance with the administration of Council and Committee business. Responsibilities include organising Council and Committee meetings, agendas, compilation and distribution of Council papers, attendance at meetings as minute-taker, timely preparation and circulation of minutes, drafting correspondence, maintain efficient records and Council register management along with general administration support.
This interesting and varied role involves approximately 15hrs per month with flexibility to accommodate additional/less requirements, to service approximately 23 Council and Committee meetings (mainly evenings) per year. The Council Secretary will be required to attend 4 of these meetings in person onsite with the remainder held online (currently via Zoom), where your attendance can be carried out on a WFH basis. It is essential to work respectfully and collaboratively with all stakeholders upholding the highest ethical standards and confidentiality.
Ideally suited to a highly organised, self-directed person, you will have the opportunity utilise your advanced written and verbal communication skills and demonstrate your ability to synthesize important information, passion for accuracy and meeting deadlines. Draw on your min. 3-5 years experience in a similar role supporting Boards/Committees and relevant qualifications. An understanding of the fundamentals and importance of governance will also support your success.
University College offer an excellent hourly rate + superannuation and the opportunity to work on an independent contractor basis. Car parking and meals are provided for onsite attendance at meetings, and all Council meetings are paused from early December to end January.
