About the role
The Customer Service Officer position is responsible for assisting the day-to-day operations of reception, including answering incoming phone calls and front office participant support, point of sales, information and referral to CRCS services, bookings, database usage, opening and close of reception, record keeping. The role plays a pivotal role in ensuring participants and employees are provided with timely service in accordance with CRCS Values.
Key responisbilities
- Answer all incoming phone calls professionally and warmly and forward callers to the most appropriate person within CRCS or refer them to other ACT services as required.
- Attend to all visitors who enter the Belconnen Community Centre and assist them or refer them to the most appropriate person or refer them to other ACT Services as required.
- Coordinate the maintenance and upkeep of office equipment in Reception.
- Undertake administration assistance for Coordinator’s and Program Manager as required.
- Ensure that all Participant and other confidential records are filed away correctly and in a timely manner.
- Assisting the Community Centre Manager in the management of meeting rooms including coordinating bookings.
- Processing payments received through the reception office.
Essential skills, knowledge and experience
- Current First Aid certificate
- Possess the personal attributes of optimism, resilience and flexibility.
- Demonstrated experience in a similar role with Intermediate level administration skills.
- Previous experience in and/or knowledge of basic data entry skills. Demonstrated high level communication skills and ability to engage with people from diverse backgrounds facing sometimes difficult circumstances.
- Demonstrated ability to be assertive and remain calm under pressure and prioritise tasks in busy situations.
- Demonstrated ability to use initiative and assist others to undertake a variety of roles during busy times.
- Demonstrated high level organisational skills with attention to detail and good problem-solving ability.
- Demonstrated liaison and negotiation skills with ability to negotiate outcomes with all levels of stakeholders.
- Intermediate level skills in the Microsoft Office environment (Word, Outlook and Excel, etc.) and a willingness to learn new systems.
Desirable qualifications
- Relevant administrative qualification i.e. Cert III in Office Administration
- Current Drivers Licence.
CRCS also requires all employees to:
- Hold or be willing to obtain a satisfactory Working with Vulnerable People registration (ACT) and/or a Working with Children Check (NSW), and have these with them at all times whilst employed by CRCS.
- Undertake a National Criminal History Clearance by CRCS prior to commencing and every three years thereafter as a condition of employment. Employees are required to advise CRCS of any convictions that may effect their eligibility to work or perform the inherent requirements of their position
- Maintain full COVID-19 vaccination currency and provide evidence of their vaccinations to CRCS (sensitive information is kept private and in accordance with the Australian Privacy Principles) unless they are able to provide suitable evidence of a medical contraindication that prevents them from receiving this vaccine.
