About the role
Reporting to the Head of Flight Operations, the Flight Operations Administrator provides administrative support to the Flight Operations Management Team some duties and responsibilities include:
- Proactive management of the Head of Flight Operations (HOFO) diary, this is to resolve scheduling conflicts in advance and build space for priority tasks, along with travel time for critical engagements;
- Organise all travel and accommodation needs for the HOFO and the Flight Ops team;
- Effective email management, answering of telephone calls and receiving visitors;
- Collate and authorise pilot’s sick leave request forms & medical certificates each month;
- Manage for the paperwork associated with the Perth-based pilots ASIC renewal forms;
- Schedule effective meetings including meeting room set up and catering requirements;
- Accurately record and transcribe weekly minutes, update action tracker document followed by timely distribution;
- Provision, production and compliance of Company documentation requirements;
- Arrange both internal and external seminars and conferences as required for the HOFO and the Flight Ops Team;
- Centralised control, production and distribution of all reporting packs as directed by the HOFO;
- Coordinate Employee Uniforms;
- Assisting with new Employee onboarding;
- Reconciliation of monthly credit card and cash expense claims for HOFO;
- Ongoing continual improvement of work systems and procedures;
- Provide support to the Flight Operations / Cabin Crew Team as required;
- General administration duties; collecting and distributing of mail, printer refill and stationary stock orders;
- Other administration duties as directed by the HOFO.
