The Department Support Officer (DSO) is a crucial member of the Strategy, Planning, and Resources team in the Faculty of Business and Economics. The Department Support Officer is responsible for high-level administrative support; the DSO manages diverse tasks, from special exam scheduling to recruitment activities, demonstrating autonomy, proactiveness, versatility, and a client-service focus in a dynamic environment. Reporting to the Department Services Manager, the role requires effective prioritization, attention to detail, and the ability to navigate ambiguity while contributing to the strategic and operational goals of the Faculty.
Your responsibilities will include:
- In collaboration with other team members, coordinate and administer all special exam timetabling requirements by liaising with academic staff in the Department, FBE ASO and Central Examinations and being able to make decisions in a timely manner to resolve issues.
- Liaise with subject coordinators and FBE ASO regarding supplementary, special and alternative exam arrangements not scheduled by Central Examinations.
- Manage all administrative arrangements of seminar groups within the Department in consultation with all the relevant academic staff.
- Prepare and maintain seminar budgets including organisation and supervision of casual professional staff if required.
- Prepare weekly seminar digest and distribute publicity material including content and uploading of material for web pages.
You will possess excellent written and verbal communication skills, enabling effective interaction with diverse individuals to foster positive working relationships. Demonstrated autonomy, resourcefulness, and high-level problem-solving skills are essential, showcasing your ability to work independently or collaboratively within a team.
You will also have:
- Completion of a relevant tertiary qualification in an appropriate field or an equivalent combination of relevant experience and/or education/training.
- Excellent organisational skills with an attention to detail to ensure the effective prioritisation, coordination, management and completion of assignments and projects within agreed deadlines.
- Advanced Microsoft Office skills especially Outlook, Word and Excel are critical to the role. Database management skills and an eagerness to learn new applications are highly desirable.
