Our modern clinic is strategically located at the heart of the NSW Central Coast in Erina, providing specialised psychology services to neurodivergent individuals. Catering to a diverse clientele, we operate with a team of skilled clinicians five days a week, committed to delivering exceptional service and care.

Position Overview:

We are seeking a seasoned Diary Manager/Receptionist with a minimum of 3-5 years of experience in a fast-paced, health-related clinic setting (e.g., psychology clinic, GP clinic, multidisciplinary clinic). The ideal candidate will have a robust understanding of diary management principles, exceptional organisational skills, and a proven track record in managing complex appointment schedules for multiple practitioners. This role demands a professional who thrives in a dynamic environment, ensuring efficient clinic operations and a positive experience for both our clients and staff.

Key Responsibilities:

  • Efficient management of appointment schedules for up to 8 clinicians using practice management software, preferably Halaxy.
  • Handling reception duties, including greeting clients, answering phone inquiries, and ensuring a welcoming and warm clinic environment.
  • Administrative tasks such as processing payments, issuing invoices, and maintaining accurate records.
  • Facilitating smooth client and clinician interactions and maintaining high standards of customer service and communication.
  • Upholding patient confidentiality and adherence to data protection regulations.
  • Performing ad hoc tasks and contributing to the overall operational efficiency of the clinic.

Essential Experience and Skills:

  • Demonstrated expertise in diary management within a healthcare setting (ideally with experience in Halaxy, although this is not essential).
  • Experience working with at least one of the following government programs: NDIS, Medicare (Mental Health Care Plans) or Aged Care.
  • Background in working with a diverse team of health professionals including Psychologists, GP's, Occupational Therapists, Psychiatrists, Paediatricians, Speech Pathologists, and more.
  • Strong communication skills, capable of engaging professionally with a wide range of patients, healthcare providers, and support staff.
  • Excellent organisational and time management skills, with the ability to prioritise effectively in a fast-paced environment.
  • Empathetic nature, with a mindful approach to multi-tasking.
  • Attention to detail and desire to deliver an exceptional level of customer service.
  • Ability to manage a busy workflow and remain calm under pressure.
  • Growth mindset and a passion for personal development.
  • Energetic, efficient and solution-focused.
  • Excellent computer, written and verbal skills.
