Job description

The position of Director Corporate Services is a member of the Senior Leadership Team at Business Events Adelaide and is responsible for managing key financial, operational and administrative elements of the business. 

A business event is a conference, meeting, convention, exhibition or corporate incentive.

Position Objectives:

  • Administration and procedure management
  • Policy management
  • Human resource management
  • Financial management
  • Contract and asset management
  • Board organising and servicing
  • Support services to Chief Executive Officer

Specific Duties:

Administration

  • Manage office administrative requirements
  • Process and monitor employee payroll through external provider
  • Maintain personnel records tracking employee leave and training
  • Coordinate induction and orientation programs for new employees and industry placement students
  • Administer insurance cover and claims
  • Maintain accommodation, vehicle and plant and equipment leasing agreements
  • Maintain suite of administration and CRM templates

Policies

  • Maintain and update as required a full suite of office policies
  • Track legislative amendments and industry standards and benchmarking

Human Resources 

  • Plan, direct, and coordinate the administrative functions of the organisation
  • Bridging management and employee relations by addressing demands, grievances or other issues
  • Maintain personnel records tracking employment history, promotions, salaries, leave and training
  • In liaison with the Senior Leadership Team manage the recruitment and selection process
  • Analyse the skills and qualities required for each job and develop position descriptions, advertise staff vacancies as appropriate, assess applications, interview applicants, make recommendations to management about staff appointments
  • Provide advice and information to management and employees on personnel policies and procedures, including equal opportunity, anti-discrimination and occupational health and safety programs
  • Advise employees on work matters, career development and industrial matters
  • Conduct induction and orientation programs for new employees
  • Conduct exit interviews

Contract and Asset Management

  • Manage office contracts i.e. office and equipment leases
  • Manage asset maintenance and replacement
  • Manage IT infrastructure and software in liaison with IT contractor
  • Manage the contract requirements of the Government’s Business Events Bid Fund program

Finance

  • Establish effective financial controls, implement and maintain appropriate management accounting and reporting systems, budgetary controls and expenditure procedures, in line with legal and corporate requirements
  • Work in conjunction with the external accountant to prepare and maintain annual operating budget and monthly financial statement reporting
  • Work in conjunction with the external accountant and auditors for the annual audit
  • Review BAS & GST reports, Fringe Benefits Tax, Payroll Tax and WorkCover Reconciliation reports
  • Manage the financial requirements of the Government’s Business Events Bid Fund program

Board

  • Organise Board and Finance & Audit Committee meetings (average six Board meetings per annum)
  • Assist the CEO to develop and present board papers
  • Distribute board papers using Convene
  • Take minutes of the meeting
  • Develop project reports as required

Support the CEO

  • Work with the CEO (and Senior Leadership Team) to develop and maintain a high performing office culture that recognises and rewards employees for success
  • Develop a gate system for CEO approvals
  • Assist with State Government and City of Adelaide correspondence and reporting
Person Specification 

Qualifications:                       

  • Tertiary Education 

Essential Skills & Knowledge:  

  • Good planning, organisational, analytical and decision-making skills
  • Confidentiality and discretion when dealing with people
  • Effective management skills
  • Budgetary formulation and financial control abilities
  • Understanding of office policies and procedures for a medium size organisation
  • Excellent written and verbal communication skills
  • Effective interpersonal skills
  • Effective organisational and time management skills including ability to prioritise tasks and meet deadlines
  • Good personal presentation
  • Ability to work with Board and undertake project work
  • Ability to work independently and as part of a team
  • Sound computer skills in MYOB, Microsoft suite and data base systems.
