Position Overview: To assist with the operation of the QRA Event 13 Flood Damage contract in the Warroo Directorate by providing high level administrative and customer support to the roles of Director and Overseer in Warroo.
Key Responsibilities:
Administrative Support:
- Provide telephone and in person support to internal and external customers throughout the QRA Event 13 Flood Damage contract. Provide project support / assistance to the Director and Overseer as required.
- Monitor performance against budget allocation throughout the QRA program.
- Undertake projects and tasks within scope of knowledge, skills and abilities, as directed.
- Maintain communication with the Overseer and Director to provide updates on Organisational operations, potential issues and/or other information that needs to be brought to the attention of the Overseer and Director.
- Provide logistical support with plant/fleet interfaces.
- Research, and review products or services to ensure the required standards are met to maintain quality assurance throughout the project.
- Prepare, coordinate and disseminate information for meetings, diary appointments, travel itineraries, accommodation bookings and catering arrangements.
- Maintain comprehensive knowledge of Council's policies relevant to the Directorate's key functions.
Council, Directorate & Stakeholder Meetings:
Assist with the coordination and preparation of meetings for:
o Department/team meetings
o External and internal stakeholder meetings
Customer Service and Requests:
- Provide professional and efficient telephone and in person support to internal and external Council customers.
- Update and action customer requests within Council's customer request system, ensuring records are accurately updated and include relevant documents and correspondence.
- Monitor the status of customer requests to ensure they are marked as 'Completed/closed' within relevant deadlines.
Qualifications and Licences:
- Current C (Car) Class Driver Licence
Required Skills & Experience:
Demonstrated experience working within a high level administrative environment with the ability toestablish and maintain positive relationships with internal and external stakeholders.
- Ability to liaise and network with stakeholders to source information for Council processes and documents.
- Demonstrated organisation and time management skills with the ability to prioritise and manage own workload despite conflicting pressures and changing circumstances.
- Strong attention to detail, and well-developed written communication skills with the ability to prepare clear and concise reports and correspondence and provide well considered and informed recommendations.
- Ability to interpret and apply relevant policies, procedures and legislative framework.
- Advanced computer skills, particularly in the Microsoft Suite of Software (Outlook, Word, Excel, PowerPoint), Adobe Acrobat and ability to quickly learn new computer programs and systems.
- Willingness and ability to learn new skills and apply new areas of knowledge e.g. within a legislative environment.
- Commitment to a team-based approach and experience in working with minimal supervision.
- Ability to demonstrate a strong commitment to Maranoa Regional Council's values and team goals.
