Location Profile

Keysborough College is a multi-campus school with one campus in Keysborough (Acacia Campus) and one in Springvale South (Banksia Campus). Both campuses offer programs for students in years 7-12 with an organisational structure arranged around Junior and Senior sub-schools.

Enrolments in the College stand at around 2100 and are growing.  The College provides a broad range of VCE, VCE-VM and VET subjects for our students across the two campuses. The College also has a significant International Students Program with its own ELC.

Student achievement and engagement is generally above Like School groups and retention is high. Our student population is culturally and linguistically diverse and characterised by families of high SFOE as a result of which the college attracts significant Equity Funding. General Satisfaction with the College, as measured by the Parent Opinion Survey, is consistently high and in 2022 was 84%.

At Keysborough College we promote teaching and learning that is collaborative, technology rich, reflective, purposeful and personalised that prepares students for our rapidly changing world. Our pedagogical model - the Keysborough Learning Framework - is based on Dr Jane Pollock¿s GANAG lesson planning schema. We have a strong emphasis on teaching teams, whether those teams be across subjects within a year level (Years 7-9) or within a subject across year levels (Years 10 -12).

The College has undergone an extensive renewal program with the construction of two Junior Village neighbourhoods, a Senior Village neighbourhood, and a purpose-built STEM Centre on each Campus. Construction or refurbishment of a Food Technology, The Arts and Technology Centre on each campus has also been completed. The final stage of major construction will be completed in 2023 with the building of a new Administration Centre on the Banksia Campus and the refurbishment of the Music area at the Acacia Campus.

Selection Criteria

SC1     Demonstrated high level competency in scheduling and or rostering events in a large secondary school.

SC2     Possess the knowledge, expertise, or capacity to use timetabling and daily organiser software such as Edval.

SC3     Demonstrated proficiency and the capacity to utilize other information technology applications such as Microsoft Office, CASES 21, eduPay and Compass to coordinate the effective delivery of College Operations.

SC4     Demonstrated ability to work within established guidelines, to self-manage time and solve any issues as they arise.

SC5     Highly developed communication and interpersonal skills.

Role

The Operations Manager, PA and College Timetabler provide strategic support to the principal class and College Business Manager.

The Operations Manager, PA and Timetabler works closely with the Principal Class to ensure the smooth operation of the college timetable. In addition, they will assist the principal directly in managing their diary, provide whole school event oversight and support and manage key school event planning.

There is a requirement to perform the completion of tasks in an accurate, confidential and time efficient manner.

The position requires exemplary customer service skills in order to communicate with all stakeholders within the community including parents, teachers, students, principal class, as well as possessing an ability to work under pressure in order to meet deadlines.

In addition, the position requires:

- Excellent organisational and interpersonal skills.

- An ability to work independently with confidence and initiative.

- Excellent oral and written communication skills.

- An ability to work as part of a team and contribute towards achieving the goals and objectives of the school.

- Proficiency with CASES 21.

- Familiarity with the Microsoft packages (Outlook, Word, Excel, Power-point).

- Maintain strict confidentiality at all times.

- Proven ability to troubleshoot technical problems and timetable related issues.

Responsibilities

The Operations Manager, PA and Timetabler will:

- Create a whole school functioning timetable as directed by the principal class, with ultimate responsibility aligned to the college principal and which promotes effective teaching and learning.

- Have an in-depth knowledge of Edval or an equivalent timetabling package.

- Review and oversee the publication and implementation of an annual timeline and process for the development of the College timetable.

- Consult with the leadership team regarding the number of classes, periods and staffing requirements to enable timely decision making in relation to College planning.

- Conduct appropriate consultation with the leadership team in the development of the timetable, including staffing and rooming of subjects and yard duty rostering.

- Conduct an annual evaluation of the timetable in relation to curriculum, staffing and other resourcing priorities, and provide advice to the leadership team.

- Identify and resolve timetable problems and find appropriate solutions where there are potential conflicts.

- Work with the leadership team and Human Resources Manager/ Daily Organiser to staff the timetable when staff are on leave.

- Communicate timetable information to all staff in a timely manner.

- Liaise with enrolment and exits officer(s) and year level leaders to keep up to date with student exists and enrolments.

- Work with and advise, Principal staff on timetable groupings, blockings, allotments and allowances.

- Generate all exam schedules, including trial exams, in conjunction with Principal class responsible for teaching and learning and assessment and reporting.

- Make requested changes to student timetables and subjects.

- Support and provide input on subject selection processes at each year level.

- Liaise with the Principal class directly to provide alterations to the timetable as necessary.

- Provide administration support as directed when required by the college Business Manager and/ or Principal, notably reception, sick bay and college announcements.

- Provide record keeping and assistance where required formatting school policies and other school documentation such as marketing material and college handbooks.

- Provide input and assistance to the maintenance of the college school website

- Support college administration of NAPLAN, Compass, VCE exams and other major events as required. 

- Organise school tours.

- Assist the principal directly inclusive of diary and calendar management, major events and other administrative tasks as directed by the principal.

- Take minutes for meetings involving the principal, including Principal Class.

- Manage the time in lieu process for the college.
