Event and bookshop coordinator

We are looking for a event & bookshop coordinator to join our team in Byron Bay to assist us with Event and bookshop management tasks.
The position is casual position for 38 hours a week, Level 4.1 of the Educational Services Award, General staff - $37.29 per hour. This is a busy role that is casual for a 6-month probation period with the opportunity for casual conversion after this period. This is a casual role for 38 hours per week, 8am - 4pm Monday to Friday.
This role is responsible for managing all aspects of events and all aspects of our event managing software and bookshop.
Tasks included but not limited to;
- Manage all aspects of our event management software, Arlo and event delivery.
- Book venues and manage all aspects for the events – from womb to tomb.
- Book and liaise with presenters regarding availability and book travel for all events / meetings.
- Prepare webinars in zoom and assist on webinar days.
- Manage the Parentshop bookshop, send out orders, order new stock and market and promote complementary course books and resources.
- Research event suppliers and choose the best combination of quality and cost whilst developing and maintaining working relationships with vendors and venues.
- Communicate event details, client contact and procedures to presenters and clients.
- Adhere to event budget.
- Pack event resources to send to venue, presenter, organisation or school.
- Calculate the number of manuals we need for each half yearly lot of courses and organise printing and preparation of manuals for upcoming practitioner training courses.
- Use and maintain the events operations manual.
- Ensure schedule events reach their minimum number to run.
- Answer the phone and attend to enquiries.
- Attend fortnightly WIP - and contribute to same.
- Assist with design and maintenance of Arlo CRM.

Essential criteria:
- A tertiary degree or 5 years of experience in events or in a high-level administration environment that reflects a strong organisational capability.
- The ability to foresee problems and to manage both ‘real world’ and technical logistics while delivering numerous events.
- Corporate administration or event experience, with a demonstrated ability to manage multiple competing priorities.
- Ability to initiate and drive continuous improvement in your work.
- Excellent organisational, communication and time-management skills.
- Competent technical skills and the ability to quickly master specialised learning management software and webinars in Zoom highly regarded.
- Experience in booking and coordinating travel for presenters and staff.
