Your new role
The Event Coordinator will sit in the Strategic Communications Team to assist with the delivery of the organisation's 2024 Awards. This is an APS Level 6 position.
The position will be within the Strategic Communications team and the successful candidate will also be required to be available to work some extra hours in the weeks and days before the event as well as on the event day itself. Any additional work will be paid.
Duties:
1. Deliver the event planning and production for the 2024 Awards
2. Work in collaboration with internal stakeholders across the Organisation - including reporting to a Committee - to develop and implement event, communication and partnership plans that meet the orgs strategic objectives for the Awards.
3. Work in collaboration with event partners, external stakeholders and service providers to support the production and promotion of the Awards, including all logistical, technical and catering aspects of the event.
4. Research vendors and make selections based on their creativity, quality, and cost, and hire personnel as needed across all aspects of the event.
5. Manage the engagement process with up to 20 finalists, including all correspondence as well as travel and accommodation bookings.
6. Assist with the relationship management of event partners, including correspondence and delivery of contractual benefits.
7. Assist with management of the event budget and financial reporting.
8. Develop and manage the event production schedule and timeline.
9. Ensure that the event complies with all national and local regulations and is fully accessible as both a live and live-streamed event.
10. In collaboration with the Strategic Communications team and other internal stakeholders, monitor and evaluate the results of relevant plans and activities.
11. Respond to relevant support requests from internal and external stakeholders and provide advice and solutions which address respective needs.
Essential:
- Demonstrated experience in successful event planning or event coordination.
- Demonstrated experience in successful hands-on development and implementation of event plans and associated communication and partnership strategies.
Demonstrated experience in working with colleagues and vendors in relation to briefs for graphic design, digital content, video production, marketing, and communications.
Excellent organisational, communication, negotiating, and multitasking skills.
Ability to remain calm under pressure and maintain a best practice approach to customer-service.
Superior written communication skills, with a track record of delivering professional correspondence with a wide selection of customers, clients and partners.
Excellent interpersonal skills and a proven ability to perform effectively as part of a team.
Tertiary qualifications in a relevant discipline or equivalent professional experience.
Desirable:
- Experience with Adobe Creative Suite, Canva, Veed or other multimedia editing software.
- Must be able to start within the next two weeks
- Must be Aus Citizen
- Must have relevant experience in this field.
