Event Operations Coordinator permanent role for an Events Agency based in Northern Sydney on a salary of $70k - $80k plus super.

The Company:
This world-class Events Agency organises and creates a wide variety of large scale Exhibitions, Trade Shows, Fairs and Events. They are looking for an experienced Event Operations Coordinator to join their team to assist with the coordination and delivery of assigned events. The role will cover both consumer events as well as B2B trade exhibitions focused on specific industries.
The Role:
The Event Operations Coordinator will report to the Operations Manager. The Event Operations Coordinator will play a vital role in the coordination and delivery of assigned events, exhibitions and trade shows. The Event Operations Coordinator will also be responsible for basic warehouse management.
Key Responsibilities include;
  • Assist in the preparation of departmental policies and procedures, event guidelines, process maps and services manuals during pre-opening
  • Coordinate assigned events and assist with the service of all clients in the planning process
  • Plan and coordinate all arrangements to ensure the success of the event and promote repeat business
  • Identify and communicate the needs of the customer to other internal departments to ensure proper service throughout the Centre operation for assigned groups
  • Assist with the development and implementation of new processes, and improvements or upgrades to existing products and services
  • Day to day tasks include, but aren’t limited to:
    • drafting signage
    • liaising with venues
    • drafting and booking scheduled event services such as security, cleaning, ticketing or registration
    • reviewing custom stand applications
    • contacting clients and guests to confirm requirements
    • basic warehouse management
  • Travel onsite with a small team to complete delivery of events, both within Sydney and interstate throughout the year
The Candidate:
The ideal candidate will have previous experience coordinating events, ideally in a convention, exhibition & multi-venue capacity. Ability and willingness to handle physical tasks included in warehouse management, including unloading deliveries, is required for this role.
  • Be an enthusiastic individual with a high level of customer service, personality and an ability to work well with the team
  • Have planning and stakeholder engagement experience, inordinate attention to detail and respect for both protocol and deadlines
  • Be capable to stretch across a variety of tasks pre-show and onsite, and have the right attitude towards overcoming obstacles, challenges and delivering a successful event
  • Ideally, although not required, have some experience using an Event Management System or CRM
  • Ability to manage the warehouse (about 10%-20% of the role) while also coordinating, delivering and providing admin support for large events (about 80%-90% of the role)
  • Has a valid drivers license
  • Ability to work 5 days a week from their office in the Northern Beaches
  • Ability to work weekends and outside of normal business hours for events when required
  • Ability to travel interstate and internationally for events when required
