About the role
As a Supervising Executive Assistant, you will be part of a team that provides high quality secretarial, executive, and administrative support services to Members of Parliament. You will also be responsible for supervising three casual Executive Assistants who work when the house is sitting.
This is a casual position that requires you to work during parliamentary sitting weeks for four days, Monday through Thursday. There are approximately 16 sitting weeks per year. The hours of work on a parliamentary sitting day are from 8.00 am to 5.00 pm.
Your main objective is to ensure smooth operation of overall support services to Members. Some of your daily duties include:
* Arrange placement of relief staff and interview new staff.
* Train and monitor performance of staff.
* Deliver support services to Members, such as typing, editing, researching, printing, scanning, and delivering documents and messages.
* Support communication and correspondence liaison between Members and Electorate office staff.
* Manage and maintain stationery supplies on Member' office floors.
* Provide administrative support to other service areas within the Parliamentary Service where this can be accommodated with primary duties and responsibilities.
About you
* Demonstrated ability to supervise a small team and ensure a high-quality standard.
* A professional attitude in the performance of duties, and the ability to act with discretion in day to day contact with Members and staff.
* Demonstrated intermediate word processing skills and proficiency in using a range of Microsoft Office applications, including using Excel spreadsheets.
* Demonstrated ability to prepare to a professional standard correspondence to Ministers, constituents and organisations from brief instructions.
* Proven organisational and administrative skills and experience working in a small, self-contained office environment.
* A high level of initiative and the ability to work with minimal supervision and conflicting priorities to meet deadlines under pressure.
* Excellent communication and liaison skills, with the proven ability to communicate effectively with Members and colleagues.
* Knowledge of, or the capacity to acquire knowledge of, the general role and functions of the Queensland Parliamentary Service.
