The Opportunity
Joining our experienced Operations team, you will work in conjunction with our internal teams in marketing and sales to ensure Event Production elements are executed on time and to a high standard. You will also be the customer service point of contact for many of our event stakeholders (exhibitors, visitors, speakers and industry partners). Your mission is to ensure they all have a great experience in the lead-up to, during, and after the event.
Each day will be different, with tasks changing depending on what event/projects you are working on and the timeline. Some of the things you will be doing include:
- On-boarding exhibitors, sponsors and speakers, making sure they have all the information they need in a timely manner
- Collecting sponsor logos, speaker bios, headshots and presentations
- Helping organise event functions; feature areas, briefings, seminars and meetings
- Setting up and administering the customer information portal
- Responding to customer enquiries via phone and email
- Quoting, coordinating and tracking event collateral (branded merchandise etc)
- Working with printers and external suppliers on deadlines and fulfillment
- Supporting the marketing and event management efforts when required
- Attending assigned events interstate, up to 3-5 times per year
- Assist with onsite event office and sales office management
ABOUT YOU:
- You have worked in a similar role for at least 3 years
- You are nice, upbeat and have a positive attitude
- You want everyone who interacts with you to leave with a smile on their face
- You are organised and motivated in your daily routine
- You have excellent communication skills; not afraid to pick up the phone
- You have the ability to work independently and meet deadlines
- You are a team player with a can-do/will-do attitude and willing to ask questions
- You are available and willing to travel to events
- Proficient or fast learner with key software solutions including CRM, project management, spreadsheets etc.
