Araluen Botanic Park, nestled in the serene Perth Hills of Roleystone, is renowned for its spectacular annual Yates Springtime Tulip Festival. We are seeking a vibrant, hard-working Events and Venue Hire Admin Officer to join our dynamic team and assist in delivering this festival along with other major events.
Contract Details:
- 8-month fixed-term, part-time contract, immediate start
- 60 hours biweekly, including some weekends in September
Role Overview:
The successful candidate will coordinate our annual events like the Springtime at Araluen Festival, Carols by Candlelight (December) and Remembrance Day (11 November), alongside various Venue Hire events mostly for weddings. Responsibilities include engaging vendors and artists, coordinating and administering the contract hire or legal documentation, and providing high-level administrative support for venue setups, particularly weddings.
Key Responsibilities:
- Event and Venue Hire Coordination: Manage all aspects of event planning and execution, including liaising with vendors, scheduling, and onsite management to ensure seamless delivery of events.
- Venue Hire Management: Assist the team with all Venue Hire processes, from client inquiries and bookings to setup and post-event evaluations.
- Administrative Support: Handle administrative tasks related to event and Venue Hire coordination, such as contract management, invoicing, and customer communications.
- Marketing Material Production: Assist in the creation and design of digital and print marketing materials to promote Events and Venue Hire services.
- Performance Monitoring: Track and report on the performance of Events and marketing campaigns, analysing effectiveness and identifying improvement areas.
- Content Creation: Develop content for digital platforms, including website updates via WordPress CMS and social media posts, to enhance event promotion and engagement.
Desirable Skills:
- Event and Venue Oversight: Proven experience in managing and delivering Events and overseeing Venue Hire operations.
- Digital Marketing Proficiency: Familiarity with digital marketing tools such as wordpress, Mailchimp, Google Adwords, and social media platforms to support and enhance marketing efforts.
- Copywriting Expertise: Strong ability to craft compelling content for a variety of media, aimed at engaging different audiences when promoting events on the Araluen Website or other channels.
- Independent Project Management: Excellent organisational and time management skills, with the capability to manage multiple tasks independently and meet tight deadlines.

Requirements:
- Tertiary qualification in Events Management or at least 2years of relevant experience
- Knowledge of event management legislation

It will be a requirement to work some weekends and public holiday shifts during springtime and one weekend in summer.
National Police Clearance – Applicants will be required to provide a current National Police Certificate prior to commencement with Araluen. The certificate must have been obtained within the last three (3) months
Medical – As part of the selection process, applicants will be required to attend a medical examination and return a negative result to drug and alcohol screening. * Note the organisation performs random drug testing under the Health and Safety Guidelines
