Job description

We are seeking an enthusiastic, organised and positive can-do attitude individual to join our team and kickstart their career in Admin within the Finance & Property Industry. As a Receptionist/Administrative Assistant, you will gain invaluable experience from the ground up and have the potential to progress into other facets of the Finance & Mortgage Broking Industry.

As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming experience for our visitors and clients. You will also provide valuable administrative support to ensure smooth operations and efficiency within the office.

This is a full-time permanent role, working Mon - Fri in office, 8:30am – 5:30pm. (either 8:30am – 5pm or 9:00am – 5:30pm as negotiated).

The role includes but is not limited to; 

  • Greet and welcome clients, ensuring a friendly and professional atmosphere.
  • Answer incoming calls, direct them to the appropriate staff member or department, and take messages when necessary.
  • Setting up new clients in our CRM and sending introductory emails and compliance.
  • Maintain an organised office, ensuring cleanliness and tidiness at all times.
  • Assist with general administrative tasks such as photocopying, filing, data entry & settlement folders.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Assist with coordinating and scheduling appointments, meetings, and conference room bookings.
  • Maintain office supplies inventory, anticipating replenishment needs, and placing orders when necessary.
  • Social committee - be the lead on all social events including but not limited to running meetings, anniversaries, birthdays, and team building activities.
  • Collaborate with other team members to support various projects and initiatives as needed.

The ideal candidate: 

  • Enthusiastic, can-do attitude, and a professional demeanour with a customer-focused approach are essential qualities.
  • High school certificate or equivalent; additional education or certification in office administration is a plus.
  • Demonstrated intermediate - level skills in Microsoft word, excel and Outlook
  • Great attention to detail
  • Customer service experience
  • Ability to follow directions and work as a team member.
  • Willingness to learn and apply new skills
  • Good interpersonal, customer service and communication skills are essential
  • Ability to multi-task, manage your time and prioritise tasks.
