As the first point of contact for our company, you will play a crucial role in creating a positive and welcoming experience for our visitors and clients. You will also provide valuable administrative support to ensure smooth operations and efficiency within the office.
This is a full-time permanent role, working Mon - Fri in office, 8:30am – 5:30pm. (either 8:30am – 5pm or 9:00am – 5:30pm as negotiated).
The role includes but is not limited to;
- Greet and welcome clients, ensuring a friendly and professional atmosphere.
- Answer incoming calls, direct them to the appropriate staff member or department, and take messages when necessary.
- Setting up new clients in our CRM and sending introductory emails and compliance.
- Maintain an organised office, ensuring cleanliness and tidiness at all times.
- Assist with general administrative tasks such as photocopying, filing, data entry & settlement folders.
- Manage incoming and outgoing mail, packages, and deliveries.
- Assist with coordinating and scheduling appointments, meetings, and conference room bookings.
- Maintain office supplies inventory, anticipating replenishment needs, and placing orders when necessary.
- Social committee - be the lead on all social events including but not limited to running meetings, anniversaries, birthdays, and team building activities.
- Collaborate with other team members to support various projects and initiatives as needed.
The ideal candidate:
- Enthusiastic, can-do attitude, and a professional demeanour with a customer-focused approach are essential qualities.
- High school certificate or equivalent; additional education or certification in office administration is a plus.
- Demonstrated intermediate - level skills in Microsoft word, excel and Outlook
- Great attention to detail
- Customer service experience
- Ability to follow directions and work as a team member.
- Willingness to learn and apply new skills
- Good interpersonal, customer service and communication skills are essential
- Ability to multi-task, manage your time and prioritise tasks.
