The Opportunity at Plan International Australia

You’ll play a vital role supporting the CEO, Board and Executive Leadership Team by helping coordinate our team and driving forward key initiatives. Joining 18 months into an ambitious 5-year strategy, you will play a supporting role in helping Plan International create more justice for children and equality for girls.

You’ll keep the Executive Leadership Team and Board processes running smoothly and ensure our teams have all they need for engagements throughout the week. You’ll support a broad range of organisational activities including diary management, administration, document preparation, stakeholder co-ordination and logistics. You’ll also support internal organisational communication and events and help create a great office environment to support our hybrid ways of working.

You bring experience in executive level coordination and support such as Senior Administration or EA roles, a friendly and collaborative communications style, a positive can-do attitude and an ability to prioritise and deliver to deadline. Experience in the for-purpose sector is welcome but not essential.

Please note this is a parental leave cover for a period of 12 months.

What you’ll do

  • Administrative support including diary management, document preparation for the CEO, Deputy CEO’s and Executive Leadership Team
  • Board liaison and administrative support including logistics
  • Facilitate the flow of information from the business to the CEO and vice versa
  • Ensure appropriate knowledge management of all relevant information.
  • Support internal organisational communication and events and help create a great office environment to support our hybrid ways of working.

What you’ll bring

  • Relevant experience in a senior administration or other senior executive support role.
  • High degree of professionalism, judgement, discretion and confidentiality
  • Demonstrated initiative and self-starting attitude and ability to work autonomously
  • High level written and communication skills and ability to interact at all levels of Plan. You can liaise effectively and sensitively at all levels, both internally and externally, for a range of purpose. You know how to alter your communication depending on the audience and context.
  • Skilled in being able building and maintaining productive relationships. You can work as part of the team and independently, with people at all levels, and with people both internal and external to Plan.
  • Balance competing priorities and maintain a flexible and adaptable approach while working to deadlines. You’ll be able to respond quickly to time sensitive matters and also co-ordinate longer-term pieces of project work. You will be able to work on multiple matters simultaneously.
  • Experience in the preparation of Board meetings and distribution of Board papers and organisation of all relevant logistics
  • Highly organised and have a meticulous attention to detail
  • Technically proficient. In particular, will be able to support the CEO in the preparation of presentations and Board papers.
  • Commitment to social change welcomed likely through working or volunteering for a for-purpose organisation or by being involved as part of the social justice movement.
