Executive Advisor – Digital Services

The opportunity

The Executive Advisor plays a pivotal role in providing comprehensive high-level support to the Chief Digital Officer. This multifaceted role includes assisting in managing senior-level engagement, overseeing key stakeholder relationships, shepherding and developing Board and Executive correspondence and ensuring the effective governance of transformational and Business as Usual functions.  This role will combine roughly equal parts as the doer of the work, and as the person who assists the Chief Digital Officer in ensuring that the work is done.

Key responsibilities

The major accountabilities of this position are:

  • Provision of high-quality executive level administration support, including complex diary management.
  • Develop, research and present strategic recommendations to the Executive Director on critical issues impacting the department, such as operational efficiency, and risk management.
  • Develop, coordinate and delivery of projects on behalf of the Executive Director.
  • Coordination of projects and actions, ensuring responses, proposals and correspondence meet deadlines.
  • Research and prepare quality briefing papers, reports, presentations, and other documents.
  • Foster and maintain relationships with a range of key stakeholders both internal and external to the organisation.
  • Provide executive support for a range of administrative committees and project teams, including the preparation of high-quality briefings and timely agendas, minutes, and meeting papers.
  • Prepare correspondence on behalf of the Executive Director.
  • Proactive management to ensure the Executive Director is well-prepared and that key accountabilities are met.
  • Implement, monitor, and report on strategic, operational and project plans to allow informed decision making and support achievements of the organisational objectives.
  • Coordinate team and external events and programs of work including the booking of venues, meetings, and travel requirements.

About you

To be successful in this role you will be able to demonstrate the following skills and obtained the following qualifications:

  • Experience in supporting Executives across a complex and dynamic organisation.
  • Exemplary organisational and time management skills including adaptability to shift tasks on a moment’s notice.
  • Experience researching and presenting recommendations to senior management team.
  • Previous Project management/Project support leadership experience.
  • Demonstrated leadership qualities and project management skills.
  • An ability to work autonomously when required, demonstrating judgement, initiative, professionalism and discretion.
  • A team-player who develops rapport and builds relationships easily.
  • An ability to anticipate the needs of others and respond in a positive and proactive manner.
  • Excellent interpersonal skills and the ability to influence key stakeholders across the organisation.
  • Demonstrated critical thinking and trouble-shooting skills.
  • Relevant Tertiary qualifications or similar level of experience to demonstrate acumen in – business administration or other relevant discipline.
  • Advanced level of IT literacy and proficiency in Microsoft Office Suite and project management tools.
  • Excellent numeracy, literacy and communication skills, both written and verbal.
  • Exceptional attention to detail and accuracy.
