Port Macquarie-Hastings Council is seeking a forward-thinking Executive Assistant with exceptional stakeholder engagement and communication skills, who will provide exemplary senior-level support to the office of the Director, Business & Performance.
This great opportunity is a maternity leave position, 12 months in duration.

This position is an integral role in the organisation.Reporting to the Director, you will be part of the division that provides the corporate services functions of Council, manages our commercial businesses and is instrumental in driving the transformational journey of Council.
The team requires a person who can provide the highest level of professional, confidential, and efficient assistance and business support to the Director. You will have exceptional organisation skills, the ability to triage the flow of information, while managing your time and workflow priorities effectively. Confident in your approach, you will act with a high level of professionalism and discretion, building strong relationships across the business.
Your strong ability to think ahead of the Executive, pre-empting potential scenarios and providing solutions will be highly attractive to this position, as well as your meticulous attention to detail with a focus on high performance.
On a typical day, this role will look after the following responsibilities:
Documentation: Prepare and edit reports, both internal and community-facing.
Diary management: Coordinate the Director's diary and time, including arranging internal and external meetings.
Copy writing and editing: Draft internal and communications on behalf of the Director and other senior leaders within the Business & Performance team; validate and proof read all documents coming to the Director for approval. You will also be responsible for writing and coordinating copy for our team's internal fortnightly newsletter.
People management: The EA role will have one direct report, the Business & Performance Support Officer. You will be responsible for coordinating and delegating responsibilities with the Support Officer and working with the Director to help coordinate efforts on behalf of the nine Senior Leadership Team members within the division.
Communication and coordination: Act as a main point of contact within the Business & Performance team to offer support and coordinate information sharing among internal staff across Council.
Meeting material preparation: Prepare agendas and take minutes for weekly team meetings and prepare and coordinate the monthly divisional (whole team) meeting.
What you’ll bring to the team.
Experience coordinating teams - indirect management.
Natural problem solver.
Proven experience as an Executive Assistant or similar role.
Exceptional organisational skills and attention to detail.
Strong written and verbal communication skills and interpersonal skills.
Proficiency in Microsoft Office Suite and other relevant software.
Ability to handle sensitive and confidential information with discretion.
Excellent time management and multi-tasking abilities.
Problem-solving skills and a proactive approach to challenges.
A positive attitude and a strong work ethic.
