Our Indigenous Not-for-Profit oganisation is seeking a dedicated and organised individual to join our team as an Executive Assistant. The successful candidate will provide high-level administrative support to our executives.
Responsibilities:
1. Calendar Management:
- Schedule and coordinate meetings, appointments, and events for executives.
- Proactively manage and prioritise executive calendars to ensure efficient use of time.
2. Communication:
- Handle incoming and outgoing communications, including emails, phone calls, and other correspondence.
- Draft and edit documents, memos, and reports as needed.
3. Travel Coordination:
- Arrange travel logistics, including flights, accommodations, and transportation, for executives.
- Prepare detailed itineraries and ensure all travel plans align with the executives' schedules.
4. Meeting Support:
- Prepare meeting materials, agendas, and minutes.
- Coordinate and confirm attendance for meetings with internal and external stakeholders.
5. Data Management:
- Maintain organised and up-to-date electronic and physical files.
- Assist in the preparation of reports and presentations.
6. Office Management:
- Handle administrative tasks to ensure the smooth operation of the executive office.
- Order and maintain office supplies as needed.
Qualifications:
- Proven experience as an Executive Assistant or similar role.
- Excellent organisational and time management skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office Suite and other relevant software.
- Ability to handle confidential information with discretion.
- High degree of professionalism and attention to detail.
- Ability to work independently and collaboratively in a fast-paced environment.
Experience:
- Prefer at least 2 years of experience as an Executive Assistant or in a similar role.
