About the opportunity
We are seeking an experienced Executive Assistant and Office Administrator to join our small and collaborative team. This part-time position requires 30 hours per week, spread across Monday to Friday. It involves a hybrid work arrangement, with a minimum of two days per week based in our Newcastle CBD office.
The position is a key role within the Committee for the Hunter, providing executive support, secretariat and business administration to the Chief Executive Officer, Chair and team. You will be one of the most important points of interface between the Committee, our board directors, members and stakeholders including government.
Responsibilities include:
- Manage executive calendars, including scheduling appointments, meetings and travel arrangements.
- Preparation and distribution of agendas, papers, minutes, and follow-up actions for meetings, including board meetings, subcommittees, and taskforces.
- Attendance at scheduled Board, subcommittee and taskforce meetings and events, all scheduled in advance.
- Act as liaison between the executive team, members and internal/external stakeholders including government, maintaining professional communication and building relationships in a political and high profile environment.
- Prepare and distribute formal correspondence, supporting statutory reporting.
- Coordinate logistics for meetings and events, including venue bookings, catering, parking arrangements and audiovisual equipment setup.
- Support financial reporting, manage business records and accounts, including invoicing.
- Review and management of office policy, systems, and processes.
- General administrative and project support as required.

Selection criteria:
- Minimum 5 years providing executive-level support functions in a professional services, corporate or government organisation.
- Experience providing secretariat to a corporate, not for profit or government board/committee or similar essential.
- Produce outputs with exceptional accuracy and attention to detail.
- Exceptional verbal and business writing communication skills with a proactive, positive and professional attitude.
- Excellent organisation, multi-tasking and time management skills, comfortable working independently and proactively as part of a collaborative team.
- Very strong interpersonal and relationship management skills, with demonstrated professionalism, integrity and discretion in handling confidential information and managing sensitive stakeholders. Applies good judgement gained through your experience/expertise.
- Flexibility to adjust working hours to attend events, Taskforces and Director meetings including Board and subcommittee, all scheduled in advance. The Board meets 6 times a year including AGM along with 5 subcommittee meetings which typically start at 8am or 4-5pm. The Youth Committee for the Hunter meets after 5pm 4-5 times a year. Other Taskforces are run during business hours.
- Highly experienced user of the Microsoft Office Suite.
- Awareness of and alignment with the Committee for the Hunter mission.
- Experience in using digital (communication) platforms like Mailchimp and WordPress desirable.
