Job Summary:
The successful candidate will be required to perform a wide range of administrative and secretarial duties as one of Ambassador’s EAs in the Protocol Section. The successful applicant must be professional, reliable, highly organised, and able to meet competing deadlines.
Duties:
All duties are to be performed under the supervision of the Head of Protocol Section.
• Manage the Ambassador’s diary including scheduling and coordinating internal and external appointments and functions, managing transport arrangements, and maintaining a comprehensive record of all appointments
• Provide high-level administrative and secretarial support in a timely manner to ensure smooth operation of Protocol Section including drafting official letters
• Coordinate business trips/travel and make detailed itineraries
• Manage arrival and departure protocol documentation for Embassy staff
• Field phone enquiries, greet guests and serve refreshments where required
• Other administrative duties instructed by the Head of the Protocol Section, including various support for the other EA of the Ambassador
Required qualifications, skills, and abilities:
• Bachelor's degree, and previous EA experience will be highly evaluated
• Highly organised, motivated, and flexible approach to assigned duties
• Experience in handling sensitive information and maintaining confidentiality
• Highly developed computer skills and proficiency in Microsoft Office including Outlook, Word, Excel and Access
• Native or close to native-level command of written and verbal communication skills in English and the ability to communicate effectively with senior level officials
• Japanese language proficiency is not a requirement but desirable
• Demonstrated ability to manage competing and constantly changing priorities promptly and efficiently
• Demonstrated ability to follow instructions working both in a team environment and independently
• Demonstrated professionalism and capacity to promote Embassy work ethics
• Willingness to learn and take on additional tasks as required
•Experience working in Japan and familiarity with Japanese culture an advantage

・A starting salary will be commensurate with experience.
