My client is seeking an experienced EA to support the Founder / Managing Director of this Port Melbourne based company. This business prides itself on their outstanding customer service, so they are seeking a highly committed and professional candidate to join their team.
Role Responsibilities
- Diary management, and expense management when necessary
- Travel Management (International & Domestic)
- Drafting correspondence for both internal and external contacts & stakeholders
- Board reporting, and compiling research and presentations for meetings
- Ensure that Managing Director is kept up to date with his task list and deadlines
- Acting as main point of contact for internal / external stakeholders
- Assisting with the organisation of company events as requested
- Invoice & Purchase Order reconciliations
- Secretarial Support (Minutes, Reports, pulling together PowerPoint presentations / agendas)
- General Administration support (email management, calendar schedules, document updates etc)
- Ordering office supplies, liaising with service providers, and ensuring staff have all necessary tools to function in their role
Candidate Requirements
- 2 + Years as a Personal / Executive Assistant (ideal)
- Excellent communication skills (verbal & written)
- Able to proof read and draft documents to a high level, e.g. excellent spelling, grammar, and punctuation
- Excellent attention to detail, and strong organisation and time management skills
- Strong Computer Literacy skills are essential, e.g. Microsoft Office Suite – Word, PowerPoint, Excel and Outlook
- Able to prioritise conflicting priorities and adapt to changes when necessary
- Strong comprehension skills, and able to learn new systems and protocols quickly and efficiently
- Diligent and able to manage deadlines
- Experience in an export or food-related business (ideal but not essential)
- Able to take dictation or write shorthand (highly desirable, but not essential)
