Bazaarvoice is looking for an Office Administrator/Executive Assistant (EA) to support our Sydney-based team to ensure the smooth running of our office and provide EA Support to our Sydney-based Managing Director. This is an exciting role, and this position provides an opportunity to work with both our India and Australian-based teams in a fast-moving environment where you will be both challenged and supported in your professional growth. This position is critical to our operational success, and it will take just the right candidate to deliver the results we've come to expect from our current amazing stakeholders.
What you will be doing
- A wide variety of activities including:
- Scheduling and calendar management activity via MS Outlook for our Managing director. Also provide holiday cover for our India EA.
- Coordination and planning for meetings, travel, conference calls, and special events including client and monthly/quarterly team events
- Taking and circulating meeting follow-up notes
- Ensure the smooth running of the office liaising with building managers, internal Global Bazaarvoice Facilities teams, Bazaarvoice Accounts Payable, and other vendors.
- Ordering & maintain office supplies including weekly food/snack shops
- Adhoc revenue team project work ranging from data entry to small research projects.
- Driving inclusivity and collaboration amongst our APAC (India & Australia) team members, along with building relationships and setting up new employees for success in their role
- Liaising with IT to support new hire technology setup.
- Contributing to our social committee to drive activities that enhance and support our local and global culture
Necessary Skills and Experience
- University degree or similar
- Min 3+ years EA and Office Admin experience
- Proficiency with MS Office & Google Suite applications required
- Positive, self-starter attitude with a desire to exceed expectations at every opportunity
- Ability to wear multiple hats is required
- Must be highly organized with an ability to demonstrate keen attention to detail
- Must be a flexible, adaptable, problem solver
- Strong written and oral communication skills required
- Demonstrated ability to work with a proactive sense of urgency
- Proactively looks at ways to enhance our office procedures, resources and organisation
- Ability to work under the pressure of deadlines and prioritize effectively
- Makes cost-efficient decisions in the best interests of the business
