MADYAY Recruitment is partnering with a wonderful Not-for-profit organisation. Our client has an exciting opportunity for an Executive Officer to start immediately for a 3-month temp contract with the possibility of extension.  You will be required to work fulltime hours, and the client does offer a great hybrid working model with 4 days work from home and one day working in their office, withing the heart of Melbourne CBD.  You will be required to work a full week in the office when you start for training and handover. The pay rate for this role will be $55 per hour + Super.

Reporting into the Senior Manager of Training and Education this role is to effectively administer the delivery of the programs they execute, and support the Manager and Department Heads with a number of clerical activities to support the smooth running of the department.
Some of your duties and responsibilities will be:

  • Provide Executive level administrative support
  • Organise meetings, conferences, seminars – mainly virtual
  • Assist with Board papers when required and collating information
  • Maintain accurate records and work closely with the training team to assist with various training adhoc duties like; setting up induction manuals to be sent, keeping attendance records, managing trainee requests etc…
  • Accurately report data and information required to the Manager when required
  • Assist putting presentations together
To be successful in this role you will have proven experience working in a previous Executive Assistant/Office Position, and be able to highlight where you have assisted with Board Papers and executing reports before.  You must be able to demonstrate a high level of organisational and time management skills and be able to meet tight deadlines, work under pressure and have the ability to prioritise several tasks.  High attention to detail and accuracy is critical, and you must have strong communication sills to be able to speak to various stakeholders within the business.  You must have the ability to work in a fast-paced environment, and have excellent problem-solving skills and great can-do attitude. Strong skills in general MS Office Suites are essential.
