The Role
The Memorial’s Executive Officers provide a range of high level executive, secretariat, and project support services to the Memorial’s Council, Executive and senior management in support of the organisation’s strategic and operational objectives. There are three Executive Officer roles in the Executive Support Section – Public Programs; National Collections and Council / Corporate Services
The Executive Officers research and prepare strategic advice, information and reports on diverse and complex policy, planning, compliance and operational matters to facilitate informed decision making. They provide stakeholder management, including preparation of complex correspondence, to respond to emerging issues with minimal risk to the organisation. 

The Executive Officers provide secretariat services to critical meetings and groups across the Memorial including Council, the Corporate and Senior Management Groups and various steering committees, working groups and other deliberative bodies. The Executive Officers work closely with Branch Heads to co-ordinate, monitor and report on Branch activities. They also provide project management or support for small, urgent or confidential projects at the instruction of Branch Heads. Such projects may include procurement of goods and services, organisation of events or activities and support for critical operations such as the Memorial’s VIP loans program and key stakeholder management.

To be successful, Executive Officers must anticipate and address contentious issues, provide accurate advice on complex issues and legislation, often in consultation with key internal and external stakeholders, and usually within tight timeframes. They Executive Officers must build collaborative and inclusive networks across the Memorial at varying levels. The formation and maintenance of good working relationships is crucial to the effectiveness of the role.

This particular role has a focus on managing parliamentary processes and providing secretariat support to Council and its committees.

Core Responsibilities

  • Under limited direction, provide a range of high level executive support services including:
    • Branch level co-ordination of corporate activities
    • Branch level corporate reporting
    • Support, co-ordinate or draft high-level correspondence, reports, new policy proposals, Council or Government documents and submissions
    • Branch level administration support and co-ordination including records management
  • Research, consult and review key issues in order to prepare high level advice for Branch Heads on corporate activities, obligations and priorities.
  • Provide a secretariat role organising meetings, including logistics, preparation of agendas, papers, minutes and co-ordination and support of follow up actions in relation to high level meetings or working groups.
  • Provide project management and support for critical, time sensitive or confidential Branch activities including scoping, development, reporting and implementation of projects.
  • Work collaboratively as part of the wider Executive Support Team.
  • Play an integral role in delivering Ministerial requirements including the administration of internal processes for the provision of briefs and submissions to the Minister, Senate Estimates briefs, Questions on Notice, Parliamentary Inquiries and Ministerial and CEO correspondence
  • Liaise closely with key stakeholders on behalf of Council, Executive and senior management including Government and Defence, veterans and families, veterans’ organisations, donors, contractors, volunteers and members of the public.
