Executive Officer - Infrastructure Planning & Delivery

As an Executive Officer, you will have the opportunity to make an impactful contribution by providing support directly to the Head Infrastructure Planning and Delivery and to members of the Finance & Infrastructure team. You'll be based at our Parramatta office, and be supported to work flexibly between the office and home. This is a temporary role with an ASAP start to conclude July 2023.

In this role, you will be instrumental in supporting the achievement of Infrastructure Planning and Delivery initiatives and be the first point of contact for a variety of stakeholders. You will provide high-level professional secretarial support to oversee the efficiency of administrative processes and day-to-day functions, with a broader focus on supporting our planning and delivery functions through involvement in projects.

The variety of this role includes

Implementing efficient administrative practices, systems, and procedures for the management of Infrastructure Planning and Delivery

Proactive diary and inbox management, organising appointments and coordinating future meetings and events to meet timelines and competing priorities

Creating documentation that may include project reports, briefs and minutes as well as executive communications

Applying your solutions focused manner and relationship building approach to support the team in first line communication with all stakeholders

Organising meetings, events, workshops and other arrangements and coordinate and prepare all associated agendas, presentations and materials required

About you

As someone who is highly organised and enjoys working in a collaborative environment, you will be passionate about developing relationships with key internal and external stakeholders. You will have excellent written and oral communication skills and strong attention to detail while proactively managing a busy work environment with a strong sense of initiative. The successful candidate will demonstrate:

Extensive and proven experience supporting Directors at a senior level;

Well-developed problem-solving skills, be collaborative and excited by challenges and thrive working in an environment where you can manage competing priorities, problem solve and recommend innovative administrative solutions that you think will make a difference.

Excellent communication skills and the ability to build rapport

Sound understanding of governance and maintaining compliance

A collaborative and relationships focused manner, creating a work environment that empowers and respects others, values diversity, promotes mutual trust and encourages cooperation and support.
