ABOUT THE UNIVERSITYThe University of Notre Dame Australia is a private Catholic University with over 1,000 permanent staff providing an exceptional educational experience to over 12,000 students across our Fremantle, Broome, and Sydney campuses, as well as clinical schools in Victoria and New South Wales.ABOUT THE OFFICEThe role of the University Secretary’s Office is to promote and support good governance and decision-making across the University and support statutory, regulatory and legislative compliance obligations. It does this through provision of a range of services that uphold the governance principles of transparency, integrity, stewardship and institutional accountability.The range of services provided by the Office include:
  • secretariat services for governance committees;
  • executive support for the Chancellor, Directors and Trustees;
  • management of the University’s policy framework;
  • strategic advice, reporting and monitoring of regulatory and legislative compliance.
ABOUT THE ROLEThis position will be responsible for providing high level confidential, efficient, and executive support and secretariat services and undertaking projects relating to the University Secretary’s area.The position is accountable for identifying solutions, utilising strong business acumen and expertise to drive effective administrative support processes across the team and contribute to assuring effective governance and secretariat services across the University. This is a critical role providing executive support to the University Secretary and Chancellor, as well as secretariat support services to governance committees as required.Key Responsibilities
  • Undertaking and managing activities in relation to the general operations of the Office including high-level administrative support to the University Secretary
  • Provide high-level administrative support to the Chancellor
  • Maintain budget records, and assist with Finance requests, including the processing of requisitions requests, stationary orders, reconciliation of credit card statements, reimbursements, and invoices
  • Provide secretariat services to governance and/or management committees
  • Undertake research, preparing of briefing / discussion papers, and implementing projects across the Office
  • Coordinate and arrange meetings and events
About You
  • Extensive experience in an executive support function or administrative officer position in a complex organisation.
  • Well-developed knowledge of contemporary executive administrative practices and issues, including experience in project management, sourcing and interpreting information and data and deadline delivery.
  • High level written and verbal communication skills with attention to detail.
  • Well-developed analytical and problem-solving skills that enable a high level of initiative and integrity on complex issues, with the ability to work autonomously to provide timely responses and creative solutions.
  • Exceptional confidentiality, discretion and professionalism.
  • Demonstrated understanding of university regulatory frameworks and governance processes.
