East Fremantle Football Club is WA’s most successful WAFL football club, with a rich tradition dating back over a century. The club’s activities span men’s and women’s football, junior talent development and regional and Indigenous talent activation. As we embark on an exciting new chapter, we are seeking an experienced executive administration professional to join our team as Executive Projects Officer. Our club is on the cusp of a transformative journey with the construction of a state-of-the-art $32 million facility, scheduled to be ready for the second half of the 2024 season.
Position Overview:
Reporting to the Chief Executive Officer, as the Executive Projects Officer you will play a pivotal role as Executive Assistant, providing high-level administrative support, while also taking on responsibilities as the Board Secretariat. Additionally, you will lead special projects in areas such as HR, IT and grant management, contributing to the overall success and efficiency of the club.
Key Responsibilities:
1. Executive Assistance
- Provide comprehensive administrative support to the executive team, including managing schedules, coordinating meetings, and handling correspondence.
2. Board Secretariat:
- Act as the primary point of contact for the Board of Directors, preparing agendas, organising board meetings, and ensuring compliance with corporate governance standards.
3. Special Projects Management:
- HR: oversee human resources initiatives, including recruitment, onboarding and staff development programs
- IT: manage IT projects and systems, collaborating with external vendors and internal stakeholders to enhance technological infrastructure and support
- Grant Management: identify, apply for, and manage grants to support the Club’s initiatives and programs, ensuring compliance with funding requirements.
4. Stakeholder Engagement:
- Build and maintain effective relationships with internal and external stakeholders, fostering collaboration and driving project success.
5. Documentation and Reporting:
- Prepare accurate and timely reports, documentation and presentations for executive review and decision-making
- Leverage events and partnerships to create meaningful connections with fans and the broader community.
6. Continuous Improvement:
- Proactively identify opportunities for process improvement and efficiency gains across all project areas, implementing best practices to optimise performance
Qualifications and Experience:
- Bachelor’s degree in business administration, management, or a related field (or equivalent on the job experience)
- Proven experience in executive assistance, board support, or project management roles
- Strong organisational and time management skills, with the ability to prioritise tasks effectively in a fast-paced environment
- Excellent communication and interpersonal skills, with the ability to interact professionally with stakeholders at all levels
- Knowledge of HR practices, IT systems and grant management processes
- Highly proficient in Microsoft Office Suite and project management tools.
