ABOUT THE ROLES
We are offering a unique opportunity for a permanent Executive Support Officer role based in our Goulburn Street Office.
This role will support the Chief Executive Officer (CEO) and provide quality administrative support to the Senior Executive Team. You are a trusted right hand successfully linking the CEO to the broader business in a mature and confidential manner.
Your role includes proactive and assertive calendar management including gatekeeping, meeting organisation and the preparation of written communication materials. You have sensitive people management skills, maintaining confidentiality of information as well as engaging with staff, customers, government and other stakeholders.
Accountabilities include but are not limited to:
- Successfully support the CEO to achieve personal and organisational objectives by providing superior executive support and partnering.
- Effective diary and inbox management, making informed decisions to maximise the CEO’s time and ensuring competing demands are effectively managed.
- Provide administrative support to members of the Executive Team as needed.
- Draft, format and edit presentations, reports, correspondence and communications.
- Meeting coordination including drafting agenda, catering and coordination of papers for business meetings.
- Event management for key external and internal events including planning and delivery.
- General administration - travel coordination, invoice management and expense reconciliation.
- Manage the Customer Relationship Management system for the business.
- At least 3 years’ experience in a similar role supporting a CEO or senior Executive
- Strong organisational skills that reflect an ability to perform and prioritise multiple tasks
- Proactive approach to problem-solving
- Discretion in handling confidential matters
- NSW Driver’s license
- Strong interpersonal skills with experience in developing strong professional relationships with internal and external stakeholders.
- High level of professionalism – face to face, over the phone and through correspondence.
- High level of confidentiality – you are the right hand of the CEO and access to privileged information and maintenance of confidentiality is critical.
- Self-motivated individual, who displays a positive and pro-active style – you plan and anticipate issues and address them.
- Strong proficiency in business systems including Microsoft Office.
- Strong oral and written communication skills.
- Work well under pressure, effectively managing daily workflows and balancing priorities as required.
This role is classified as a Level 5 within the Social Community, Home Care and Disability Services Industry Award 2010. The salary for the role is $ 93,336 - $ 97,560 + Super + Salary Packaging.
