An exciting opportunity to join an established Wholesale Commercial Property Management company. You will be assisting with the Facility Management of multiple sites in the Retail, Office and Industrial sector.
About the Role:
The Facilities Coordinator, handles the day-to-day repairs, maintenance requests, and administrative tasks related to our mixed portfolio of assets.
This role is ideal for someone who has knowledge in a trade and or experience in the commercial/retail facility management sector.
As the Facility Coordinator you would be organised, detailed oriented with great communication skills. This position is key in ensuring the facilities department runs smoothly and supporting our high-functioning property management team.
Being a Wholesale Commercial Property Management company means no agency hurdles, we manage all aspects of the Assets direct in house. This allows us to make decisions quickly and have a hands-on approach from start to finish.
The successful candidate will be someone who enjoys being part of a close team and is looking to play a strong role in our day-to-day operations, team culture and business growth strategy.
About You:
- Experience in a similar facility coordination/workplace services role preferred and or trade qualified background.
- Ability to learn new systems and programs quickly and effectively
- Effective lateral thinking, problem solver, capacity to achieve deadlines.
- Knowledge of Yardi or similar software platform.
- Ability to operate with a high level of autonomy and show initiative
- Effective communicator and able to liaise with a range of stakeholders
- Strong verbal and written communication skills
- Ability to work effectively in a team environment
- Have a genuine passion for Facilities!
Responsibilities:
- Management of day-to-day operations across multiple sites.
- Ensure cost effective maintenance programs are in place for all buildings, plant, systems and equipment
- Responsible for obtaining and maintaining compliance documentation relating to building operation (PPM Schedules, Service records and ongoing compliance condition)
- Assist with and management of minor CAPEX projects as required and instructed
- Manage asset register, life cycle and budgeting for replacement
- Manage relevant property site inspection audits reports and subsequent registers
- Attend to reactive matters/emergencies, creating work orders and liaising with contractors, tenants and property managers as required.
- Following up contractors for repairs outcomes
- Manage operating expenditure and, ensure efficient, sustainable and cost-effective maintenance and operation of all plant and equipment
- Carry out regular site inspections
