Facilities Contract Administrator

Location: World Square, 680 George Street, Sydney (agile working environment)
Commencement Date: Immediate Start (or by negotiation)
Closing Date: Friday, 15 March 2024

About the role

Reporting to the Supervisor: Asset Maintenance, the position of Facilities Contracts Administrator provides subject matter expertise to ensure services contracts are established and managed and that the day-to-day management and operation of building infrastructure service within the Sydney Catholic Schools (SCS) property portfolio is effective and compliant.

The function exists to ensure that facilities are cost-effectively maintained to an adequate standard following legislative requirements and match the expectations of the students and staff of SCS and the SCS Strategic Plan.

The successful candidate will be responsible for:

  • working in collaboration with stakeholders to Identify the need for centralised service contracts
  • managing a full suite of service contracts and contract performance
  • developing & managing a contractor register for scheduled and reactive works and keeping information current
  • managing and awarding tendering and RFI strategies to optimise market availability, improve level of service and commercial savings if applicable.
  • improving SCS Indigenous engagement through centralised services
  • managing the service tender documentation and subsequent contract award and execution, in collaboration with SCS legal and procurement
  • establishment of contract/or performance metric and management frameworks
  • leading monthly meetings and documenting outcomes with contractors
  • auditing and validating contractors' contractual deliverables through site inspections and desktop reviews
  • seeking school feedback on contractor performance, addressing concerns, ensuring stakeholders are informed
  • establishing and managing a contractor risk and opportunity register with the SCS system
  • coordinating with the system service team on all contract & service variations, including exceptions, and ensuring that the SCS reporting system is accurate and maintained
  • coordinating with the central office to upload revised or new asset data on the SCS reporting system
  • strategically managing contract renewals before expiry
  • responding to and following up on schools' queries regarding centralised services
  • introducing a continuous improvement program


About you

To be successful in this position, you must possess:

  • Tertiary Qualifications in property and project management or facilities or contract management related disciplines
  • minimum four years of contract administration within Facilities service
  • experienced in tendering and negotiations
  • experience in procurement processes
  • Experience in procurement reporting and analysis
  • experienced in contract development & management
  • experienced with applying and monitoring performance standards
  • experienced in developing business cases and presentations
  • experienced in liaising with professionals working in building disciplines
  • a current NSW WorkCover White Card with a good understanding of WHS obligations
  • experienced in developing contractor performance management frameworks
  • demonstrated financial management experience
  • experienced in a property management or property maintenance environment.


In addition, the successful candidate must have:

  • a good understanding of the Building Code of Australia (BCA) and NCC
  • current driver's licence and be able to travel across Sydney.
