Based in Sydney, the Facilities Coordinator acts as the administrative coordinator for the Facilities Unit, ensuring the delivery of effective systems and processes to deliver the required productions.
This position is on a casual basis.
Key areas of focus
- Act as operational point of contact at TOC as required, fielding all incoming enquiries, and directing them to the appropriate OA contact.
- Provide a high standard of customer service to all internal and external parties, including venue hires.
- Monitor TOC office building kitchen supplies, stationary, consumables, maintenance and repair requirements, communicating any needs to the relevant unit.
- Act as the Chief Warden and first aid officer for TOC when Facilities Manager is not on site..
- Act as office administrator and liaise with external contractors and suppliers, administer building access control, and provide logistics assistance for rehearsals, coaching, events and performances at TOC and other OA venues as required.
- Lead and operate the online maintenance management and work order system.
- General reception duties.
- Develop and coordinate effective processes and systems with the aim to automate functions required to deliver productions and management of TOC.
- Coordinate internal room allocations for Sydney and Melbourne facilities available for rehearsals, coaching’s, events, etc.
- Coordinate Sydney and Melbourne external hires including contracting, invoicing, briefing hirers and briefing facilities staff on hire requirements or where relevant setting up rooms and providing logistics support as require in conjunction with Facilites Coordinator, Melbourne.
- Coordinate mailroom function for TOC.
- Provide general administrative support to the Facilities team
Key Selection Criteria
- 1+ years proven experience in the areas of project and event administration
- Sound organisational skills and attention to detail
- A polite and professional manner
- Ability to work cooperatively with a diverse range of people
- Proven ability to multi-task, handle pressure, and deal with the unexpected
- Intermediate MS office skills including Excel, Photoshop, Outlook.
- Taking reasonable care of your own health and safety and that of others;
- Ensuring that your acts or omissions do not adversely affect others; and
- Complying with OA SAFE and any reasonable instructions, policies and procedure given by OA, to enable OA to comply with WHS laws and maintain a safe working environment.
