The Facilities Associate is a team player and works with other members of the team to meet all key performance indicators as set out in the JLL Facilities Management Plan.
Facilities Management:
- Coordinating and executing site EHS programs
- Maintaining a safe work environment for all users of the premises
- Ensuring all statutory compliance programs are panned and timely executed.
- Coordinating with the Client as required provide customer services at optimum levels.
- Planning and timely executing building maintenance and operational programs
- Managing all vendor contracts and service arrangements
- Managing Service Contractor safety management through ‘Rapid Global’ contractor management system
- Ensuring the efficiency of all building systems are maintained at optimum levels.
- Preparing annual operating reports and budgets for JLL
- Ensuring all utility systems are inspected and in accordance with regulations.
- Negotiating bids and contracts for third party workers
- Coordinating building security and maintenance services
- Managing and supervising all facilities personnel
- Administration of OSvC – Service Requests Workflow
- Provide training and guidance to OSvC when required.
- Monitor OSvC Workflow and liaise with respective staff to complete and close all Services Request within the SLA timeframes.
- Raise Purchase orders for the North Ryde office if required, track PO’s and report monthly to the Facilities Manager.
- Liaise with Facilities Coordinators for timely receipting of goods and services by vendors.
- Receipt all invoices for North Ryde and North Sydney offices and liaise with Oracle Accounts Payable team ensuring timely payment of invoices.
- Attend to vendors queries on Purchase order and invoice related matters.
- Provide superior customer service.
- Ensure feedbacks from customer sessions are recorded and actioned to the satisfaction of the end user.
- Pro-actively manage Oracle business unit expectations ensuring that the service levels are maintained.
1. Assist Senior Facilities Manager in the implementation and management of a property risk management program which identifies major property risks including occupational health and safety, fire safety and essential services and environmental. Report any issues or concerns back to Senior Management
2. Assist in the implementation and monitoring of guidelines and strategies to protect health and safety of staff and others, protect JLL/ORACLE reputation, branding. Report any issues or concerns back to Senior Management
3. Follow established escalation and incident reporting procedures.
Customer Service / Client Relationships:
1. Provide superior customer service.
2. Ensure feedbacks from customer sessions are recorded and actioned to the satisfaction of the end user.
3. Pro-actively manage JLL/Oracle business unit expectations ensuring that the service levels are maintained.
Training:
Actively participate in all planned training activities.

Skills, Qualifications and experience
- Follows all company policies and procedures.

- Experienced at compiling and following strict budgets.
- Accurate and precise attention to detail

- High school degree; bachelor’s degree in engineering, facilities management, business management or related field preferred. Trade Certification with extensive FM experience will be considered.
- Previous experience in maintenance supervision or related field
- The ideal candidate will have a positive attitude and be a problem-solver
- Ability to physically stand, bend, squat, and lift up to 25 to 30 pounds
- Computer skills; include scheduling with Microsoft Office Suite or similar software and other applications.
