- Serve as the primary point of contact for all office management duties, including:
- Maintenance
- Mail distribution.
- Supply inventory and ordering.
- Equipment maintenance
- Bill management
- Running errands and managing shopping needs
- Schedule and coordinate meetings and appointments.
- Organise office layout and ensure availability of necessary stationery and equipment.
- Maintain office conditions and coordinate repairs as needed.
- Collaborate with HR to update and enforce office policies.
- Streamline office operations and procedures.
- Coordinate with the IT department for office equipment needs.
- Ensure timely invoicing and payment processing.
- Manage contracts and negotiate with office vendors and service providers.
- Oversee office budget, ensuring accuracy and timely reporting.
- Provide general support to visitors and assist with onboarding new hires.
- Address employee inquiries related to office management issues, such as stationery, hardware, and travel arrangements.
- Liaise with facility management vendors, including cleaning, catering, and security services.
- Plan and coordinate in-house or off-site activities, such as parties, celebrations, and conferences.
- Proven experience in an Office Manager, Front Office Manager, or Administrative Assistant role.
- Knowledge of office administration responsibilities, systems, and procedures.
- Proficiency in MS Office applications, particularly MS Excel and MS Outlook.
- Hands-on experience with office equipment, including fax machines and printers.
- Familiarity with email scheduling tools, such as Email Scheduler and Boomerang.
- Excellent time management skills with the ability to multitask and prioritise tasks effectively.
- Strong attention to detail and problem-solving abilities.
- Exceptional written and verbal communication skills.
- Outstanding organisational and planning skills in a fast-paced environment.
- Creative thinking and ability to suggest and implement improvements.
- Qualifications as an administrative assistant or secretary are a plus.
