We are growing our team, and we have multiple vacancies to join the University of Adelaide as a Faculty Administration Coordinator. The successful candidates would be based within one of our three university faculties where you will be working in collaboration with a team of administration officers, providing administration support functions to a range of stakeholders within the faculty.
These will be diverse and varied roles. Below are (just) some of the responsibilities these positions deliver:
- Responsive and flexible administrative support services to the faculty, including undertaking day-to-day document, mail, equipment, supply, minute taking, room bookings, and facility maintenance tasks.
- First point of contact and primary interface for the School’s and Faculty staff and visitors
- Provide diary management support for School and Faculty leadership positions.
- Coordinate a range of finance related transactions including obtaining quotes, raising e-Pro requisitions and processing payments, supplier invoices and reimbursements.
- Prepare, record and disseminate a range of clear, timely and accurate documentation, correspondence and information associated with the school’s administrative requirements.
- Undertake travel arrangements for Faculty & School Staff.
- Organisation and coordination of School and Faculty events
We are looking for experience in the areas below:
- High-level organisational and administrative skills including the ability to prioritise and manage competing priorities.
- Well-developed interpersonal skills including both written and verbal communication skills and the ability to work with a diverse range of people and cultures.
- Demonstrated ability to work independently and exercise judgement and use initiative.
- Demonstrated ability to give excellent attention to detail and manage high-volume tasks efficiently and accurately.
- Knowledge and experience of software which supports organisational operations and standard business software packages, such as Microsoft Office
- A qualification aligned with the role would be desirable but not essential.
- Some of our schools and faculties run large and complex events throughout the year. If you have experience in organising and coordinating events, please detail this specifically in your cover letter. Desirable but not essential experience.
