About the vacancy

The Work, Health, Safety and Risk Department manages the following internal functions: Risk Management, Injury Management, Return to Work and Work, Health and Safety. 

Adelaide Festival Centre is looking for an Administration Coordinator to provide a high level of administrative support to the Manager, Work, Health Safety and Risk.  The role contributes to the efficient running of the WHS and Risk Department by undertaking minor projects and assisting with research and development of processes and delivery of effective WHS and Wellbeing management systems at Adelaide Festival Centre. 

The successful candidate will be highly proficient in the use of the Microsoft suite of products; Word, Excel, PowerPoint, Outlook, OneNote, Publisher, Access, email, calendar, tasks, share point online and one drive.

Skills and Experience in WHS and Risk, Return to Work and Injury Management environments will be viewed favourably.

Key Result Area / Accountabilities:

  • Ensure the provision of a high standard of administrative and project support to the Manager, WHS and Risk, and the WHS and Risk function more broadly 
  • Coordinate, process, track and maintain Emergency Management Plans, emergency procedures and emergency drill exercises including venue evacuations
  • Coordinate and schedule Security Group, Emergency Management Committee and Safety and Wellbeing Consultative Committee meetings
  • Monitor and track internal audits, inspections and corrective actions
  • Maintain the Hazard Risk Register, WHS Corrective Action Register and WHS Activity Planner
  • Assist with implementing Hazard Risk Register initiatives to ensure a safe work environment
  • Undertake research, and collate and analyse information and data, including the preparation of summary reports, using Excel and the Gov SAfety reporting system
  • Ensure Return to Work (RTW) and claims processes are completed in a timely and efficient manner and consistent with Department of the Premier and Cabinet and Work Injury Services (Department of Treasury and Finance) requirements
  • Monitor and assist internal and external stakeholders with Gov SAfety Reporting Management system and Adelaide Festival Centre internal hazard and incident reporting processes
  • Contribute to the development, review, implementation, maintenance and version control of WHS policies, processes, safe work procedures and safe work instructions

  • Proven ability to innovate and provide continuous improvement solutions to processes and systems (Highly Desirable)
  • Lateral thinking, problem solving and ethical decision-making skills (Highly Desirable)
  • Previous experience providing WHS generalist support (Desirable)
  • Qualifications in Return to Work (Desirable)
  • Experience with document management and Event systems (Desirable)
