Job Title:Finance/Payroll Assistant
Department: Finance
Reports To: NDIS Claiming & Finance Officer
The Role:
The Finance/Payroll Assistant supports the Finance Department by assisting the finance team in daily financial operations and ensuring accurate and timely processing of payroll, specifically within the context of NDIS (National Disability Insurance Scheme) funding and regulations.
This role requires strong attention to detail, proficiency with financial software, and the ability to handle confidential information discreetly while ensuring compliance with NDIS guidelines.
Key Responsibilities but not limited to:
- Payroll Processing:
- Assist to prepare and process bi-weekly/monthly payroll for all employees, ensuring accuracy and compliance with company policies and legal requirements.
- Maintain payroll records, including timesheets, deductions, and benefits.
- Address payroll-related inquiries from employees and resolve discrepancies in a timely manner.
2. Financial Transactions:
- Assist in the preparation and processing of invoices, receipts, payments, and other financial transactions, ensuring compliance with NDIS requirements.
- Ensure accurate coding of expenses and adherence to budget guidelines, particularly related to NDIS-funded services.
- Reconcile bank statements and assist in the preparation of financial reports.
3. Administrative Support:
- Maintain and update financial records and documentation, with a focus on NDIS-related transactions.
- Assist with month-end and year-end closing processes.
- Support the Finance Manager in budgeting, forecasting, and financial analysis tasks, including tracking NDIS funding and expenditures.
4. Compliance and Reporting:
- Ensure compliance with internal financial policies, procedures, and NDIS guidelines.
- Prepare and submit statutory reports, including tax filings and superannuation contributions, with a specific focus on NDIS compliance.
- Assist with internal and external audits by providing necessary documentation and information, ensuring all NDIS-related documentation is accurate and up-to-date.
Qualifications:
Education:
- Diploma in Accounting, Business Administration, or a related field.
Experience:
- Proven experience in payroll processing and financial administration, typically 2-3 years.
- Experience with financial software (e.g., QuickBooks, Xero) and payroll systems.
- Experience working within the NDIS framework is highly desirable.
Skills:
- Strong numerical and analytical skills.
- Excellent attention to detail and organizational abilities.
- Proficiency in Microsoft Office Suite, particularly Excel.
- Strong communication and interpersonal skills.
- Ability to handle confidential information with integrity and professionalism.
- Familiarity with NDIS funding, billing, and reporting requirements.
