About The Role
As a Fleet Administration Officer, your role is to support the Fleet Manager to:
- Assist in managing the end-to-end vehicle lifecycle of the Endeavour Foundation fleet from acquisition administration (including raising purchase orders, supplier invoice management, onboarding of new vehicles) to vehicle disposal administration.
- Assist with the in-life management of the fleet including utilisation management, fuel card, toll, infringement, accident and service enquiries from internal stakeholders.
- Maintain and update the fleet and financial databases as required
- Monitor, triage and action of shared mail inboxes and workflow tasks as required
- Assist in preparing the annual fleet budget and monthly executive reports, with consideration to the organisation's requirements, fleet utilisation, safety and condition.
- Assist in overseeing any insurance claims, ensuring that repairs are undertaken according to the insurance policy; and that temporary replacement vehicles are arranged where required.
- In collaboration with key stakeholders and the Fleet Manager regularly review vendor performance to ensure they are in line with service level agreements, commercial contracts and purchasing guidelines that are fit for Endeavour. Escalate any issues impacting service levels to Fleet Manager.
- Administration and monitoring of the support centre carpark and site pool car management.
About You
- Minimum of 2 years’ experience in a busy administration role (automotive or fleet management related experience would be an advantage)
- Experience working in or had dealings with large, complex organisation structures and processes.
- Demonstrate passion about workplace safety.
- Excellent customer service skills and a demonstrated ability to communicate and negotiate successfully with all levels of stakeholders.
- High level of proficiency working with the Microsoft Excel, SharePoint, Planner, Teams
- Be a great team player and be willing to work across other areas of the greater asset management team when required.
- No formal qualifications are required for this role, however prior fleet experience in a corporate environment will be held in high regard.
- Committed to undertaking and holding relevant worker screening as determined in accordance with role requirements during employment with Endeavour Foundation. Must have a valid Australian car drivers licence and confidence to drive all size car licence vehicles.
