As a Fleet Admin Officer you will support the Fleet Manager to mitigate the risks of operating fleet vehicles, keeping staff and clients safe and ensuring that the objectives of the organisation are met in accordance with policy, procedure The Fleet Admin Officer will be responsible for a wide range of administrative related tasks, as well as acting in an advisory role to provide support and guidance to stakeholders on matters such as servicing, repairs and maintenance schedules. Responsibilities will include, but not be limited to: Respond to queries to provide guidance on matters such as vehicle servicing arrangements, lodging insurance claims, replacement fuel cards, staff reimbursements, etc.
Provide guidance on process as set out by company policy and procedures. Identify and nominate traffic infringements to drivers in a timely manner and escalate to Fleet Manager if necessary. Accurately enter new vehicle information into SmartFleet database and dispose of vehicles at end of lease Database maintenance, including changing driver names, vehicle locations, account code changes, registration expiry dates, bus safety inspection and extinguisher inspection dates, wheelchair lift service dates, etc.
Notify salary packaging provider of changes to drivers, vehicles, FBT values. Provide GPS reports to Health, Safety & Well being team for incidences of excessive speeding, etc. Cancel lost or stolen fuel cards and order replacements.
Investigate instances of declined fuel card transactions and provide guidance to custodians. Assist custodians to apply for accessible parking permits. Raise purchase orders for services such as car washing, etc.
What you'll need to succeed To be successful as a Fleet Admin Officer Certificate IV in Business or similar discipline, or a minimum of 2 years work experience in a similar role Well developed attention to detail and data integrity skills Ability to work both autonomously and as part of a team, incorporating effective planning, time management and organisational skills to achieve quality outcomes Proven experience in developing and managing relationships with a wide range of internal and external partners Strong interpersonal and team skills and behaviours, incorporating verbal and written communication skills Demonstrated commitment to customer service, with a continuous improvement focus Experienced in the use of Microsoft Office applications, such as Word, Excel, Teams NDIS Screening Workers Check NDIS Worker Orientation Module Certificate of Completion Experience of using SmartFleet, or similar fleet management program
