This role is a full-time position from Monday to Friday, inclusive of receptionist and Social Media coordinator responsibilities, and patient coordination. On-site clinic days are Tuesday through Thursday 10 am - 6:30 pm while Monday and Friday 10 am - 6 pm are remote work days.
We are seeking a highly organised individual with excellent interpersonal skills and an understanding of the health, aesthetic, or medical industry to join our team. The ideal candidate will be polished, friendly, and articulate, with a background in clinical or therapy work and a passion for administrative tasks and patient liaison.
Responsibilities include but are not limited to:
- Manage patient coordination, ensuring a seamless customer and patient journey
- Handle appointment bookings and rebookings
- Answer phone calls and emails
- Assist with prescription handling and patient aftercare
- Support management operations
- Assisting the Doctor with operational activities including scripting and pathology.
- Create and coordinate Social Media Content
- Manage customer relationships, including lead generation, calling new leads, converting new patients, and onboarding them
- Perform reception tasks hourly with the priority of patient coordination and lead management
- Utilise basic Social Media skills
- Demonstrate excellent technical English, both oral and written
- Exhibit planning and coordination skills
- Provide top-notch customer service
- Possess excellent administrative skills, including proficiency in Google Suite (Excel, Word, PowerPoint)
- Knowledge of Canva is essential
- Provide retail and product recommendations
- Build relationships and rapport with clients
- Preferred experience working in a Health Clinic, Skin Clinic, Spa, Hotel, High-end Restaurant, or equivalent
- Strong attention to detail, exceptional organisational skills, and the ability to work in dynamic environments, demonstrating proactiveness and self drivenness
- Prioritise tasks effectively and communicate well
- Experience with Helix, Cliniko, Timely, Shopify, and WooCommerce, as well as familiarity with various booking systems and patient management programs, is advantageous though not mandatory
- Desirable: Qualifications or prior experience in a wellness clinic, medical spa, skin clinic, or medical facility.

Essential:
Candidates applying for this role should have strong customer relationship skills, be experienced in guiding patients through their in-clinic journey, or have experience in fostering customer experiences, generating leads, initiating contact with new prospects, converting potential clients into patients, and effectively onboarding them.
